We are seeking an Office Administrator to join our Head Office team, ensuring seamless coordination, efficiency, and professionalism in all administrative functions.
Role Overview
The Office Administrator will be responsible for overseeing daily operations of the head office, supporting management, and ensuring smooth communication across departments. This role requires organizational acumen, discretion, and the ability to manage multiple responsibilities with integrity and efficiency.
Key Responsibilities
- Manage and oversee day-to-day office operations, ensuring an efficient and professional work environment.
- Act as the first point of contact for visitors, clients, and external stakeholders at the head office.
- Coordinate schedules, meetings, appointments, and travel arrangements for senior management.
- Handle office correspondence, documentation, and filing systems (both physical and digital).
- Maintain office supplies, equipment, and vendor relationships to ensure uninterrupted functioning.
- Assist with HR-related administrative tasks including attendance, leave records, and onboarding support.
- Support finance and procurement teams in invoice management, expense tracking, and petty cash handling.
- Draft letters, memos, and official communications on behalf of the management.
- Ensure compliance with company policies, confidentiality, and regulatory requirements in all administrative tasks.
- Contribute to a professional, disciplined, and respectful office culture.
Qualifications & Skills
- Bachelor's degree in Administration, Business Management, or related field (preferred).
- Proven experience (2–5 years) as an Office Administrator, Executive Assistant, or in a similar administrative role.
- Strong organizational and multitasking skills with attention to detail.
- Excellent written and verbal communication skills (English and Hindi proficiency required).
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently with minimal supervision while maintaining accountability.
- Discretion, integrity, and professionalism in handling sensitive information.
- Pleasant personality with strong interpersonal and coordination abilities.
