ERP & Inventory Manager (Jewellery Industry)

Role Overview:-

The ERP & Inventory Manager oversees end-to-end product lifecycle, data accuracy, ERP ecosystem performance, and alignment between retail, manufacturing, ecommerce, and exhibition operations.

Key Responsibilities

  1. ERP System Ownership

  2. Lead the management and optimization of jewellery ERP software.

  3. Create/maintain SKUs, design codes, barcodes, tags, pricing, certification mapping.
  4. Ensure integration between POS, CRM, manufacturing, finance, inventory, and ecommerce modules.

  5. Coordinate with ERP partners for upgrades, automation workflows, bug fixes, and new modules.

  6. Inventory Management & Stock Control

  7. Maintain accurate, real-time inventory across Gold, Diamond, Solitaires, Polki & Gemstone categories.

  8. Oversee stock transfers between store, workshop, vendors, and exhibitions.
  9. Manage GRNs, inwarding, outwarding and logistics tracking.
  10. Lead monthly & quarterly stock audits — identify discrepancies and resolve them with teams.

  11. Manage waste percentage, purity mapping, BOM (Bill of Materials), and valuation accuracy.

  12. Quality Control & Compliance

  13. Define and enforce QC standards: purity, diamond grading, gemstone standards, setting quality, finish.

  14. Coordinate hallmarking and third-party lab certifications (IGI, SGL, BIS Hallmark).
  15. Track repairs, re-finishing, remakes, polishing and update timelines systemically.

  16. Oversee customer order fulfilment accuracy and delivery commitments.

  17. Financial & Legal Coordination

  18. Work with finance for inventory accounting, purchase planning, and accurate costing.

  19. Ensure compliance with GST, HUID regulations, hallmark requirements and audit protocols.

  20. Reconcile buybacks, returns, exchange workflows and vendor settlements.

  21. Event & Tally Accounting Integration

  22. Coordinate event/exhibition accounting including:

  23. Temporary POS setup
  24. Stock movement tracking
  25. Sales, returns, exchanges, and cash/UPI/card reconciliation
  26. Ensure Tally sync with ERP for:
  27. Daily sales entries
  28. Purchase bills & inventory valuation
  29. Scheme liabilities
  30. Vendor payments & ledgers

  31. Generate consolidated financial reports post-event or month-end closing.

  32. Reporting, Analytics & Forecasting

  33. Generate dashboards and reports including:

  34. Stock ageing & slow-moving inventory
  35. Margins & cost analysis
  36. Best-selling designs insights
  37. Manufacturing performance & vendor scorecards
  38. Ecommerce vs store vs event performance

  39. Use BI tools (Power BI/Zoho/Tableau) for predictive analytics.

  40. Schemes & Incentive Tracking

  41. Maintain savings schemes, loyalty programs, buyback policies, and vendor scheme tracking.

  42. Track and automate staff incentive calculations via performance metrics.

Skills & Qualifications

  • 4–8 years experience in jewellery retail/manufacturing operations.
  • Strong experience in ERP workflows, Tally integration, stock valuation & BI dashboards.
  • Detail-oriented, analytical, strong coordination and leadership skills.
