Job Summary:
The Executive Assistant (EA) to the Managing Director provides high-level administrative, organizational, and operational support to ensure the smooth functioning of the MDs office. The role requires exceptional communication, multitasking, and problem-solving skills to manage schedules, meetings, correspondence, and strategic initiatives while maintaining confidentiality and professionalism.
Key Responsibilities:
Administrative Support:
Manage and maintain the MDs calendar, appointments, travel plans, and meetings.
- Prepare and organize documents, presentations, reports, and correspondence for internal and external communications.
Draft, review, and manage emails and letters on behalf of the MD.
Meeting Coordination:
Schedule and coordinate executive meetings, board meetings, and reviews.
Prepare agendas, take minutes, and ensure timely follow-up on action items.
Communication & Liaison:
Act as the primary point of contact between the MD and internal teams, clients, partners, and stakeholders.
Screen and prioritize calls, emails, and requests, ensuring timely responses.
Project & Task Management:
Assist in monitoring key projects, deadlines, and deliverables.
Conduct research and compile data to support decision-making and strategic planning.
Confidentiality & Discretion:
Handle sensitive business and personal information with the highest level of confidentiality.
- Ensure compliance with company policies and ethical standards.
Qualifications & Skills:
- Bachelors degree in Business Administration, Management, or a related field (Masters preferred).
- 5+ years of experience as an Executive Assistant, Personal Assistant, or in a similar senior administrative role.
- Strong organizational and time-management skills with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills in English (and other relevant languages, if required).
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (Zoom, Teams, etc.).
- High level of discretion, integrity, and professionalism.
- Ability to work independently and under pressure in a fast-paced environment.
