Type: Full-time, On-site

Purpose of the Role

To ensure smooth and efficient day-to-day operations of Meher Sra Designs by managing the Creative Director's professional and personal schedules, communication, and administrative systems. This role enables Meher to focus on creative leadership, client relationships, and brand direction—while ensuring that both studio and personal commitments run seamlessly.

Key Responsibilities

1. Executive & Personal Assistance

  • Manage Meher's calendar, appointments, and travel itineraries (domestic and international).
  • Coordinate daily schedules, ensuring timely transitions between meetings, site visits, and personal commitments.
  • Handle confidential correspondence, emails, and calls with discretion.
  • Draft and send professional communication, meeting summaries, and follow-ups on Meher's behalf.
  • Organize personal and professional travel logistics—flights, hotels, itineraries, and restaurant reservations.
  • Coordinate household management tasks, including staff schedules, maintenance follow-ups, and deliveries.
  • Manage gifting—birthdays, clients, festive hampers, family events—with thoughtful curation and timely execution.
  • Liaise with family office or staff for errands, personal payments, and home-related requirements.
  • Maintain a master checklist of important dates, renewals (passports, memberships, car insurance, etc.), and key contacts.
  • Ensure Meher's personal and work life are harmoniously scheduled and efficiently supported.

2. Studio Operations & Administration

  • Oversee daily studio functioning and upkeep, ensuring an organized and efficient workspace.
  • Supervise the Admin & Accounts executives for timely reports, bill payments, and documentation.
  • Manage HR processes—onboarding, attendance, leave tracking, and team engagement activities.
  • Organize staff meetings, office celebrations, and training sessions.
  • Ensure vendor, supplier, and contractor coordination for day-to-day studio operations.
  • Maintain studio inventory and supplies for samples, stationery, and pantry.

3. Project Coordination

  • Maintain project trackers—timelines, deliverables, and client updates.
  • Oversee document control—client presentations, design drawings, and budgets.
  • Coordinate with team members for progress updates and ensure adherence to internal deadlines.
  • Schedule and track client meetings, site visits, and vendor appointments.
  • Liaise with external partners (architects, consultants, brands) for approvals and deliveries.
  • Support logistics for installations, shoots, and exhibitions

4. Communication & Meeting Management

  • Act as Meher's liaison with clients, vendors, and collaborators when she is unavailable.
  • Schedule, prepare, and document key meetings—circulate agendas and minutes.
  • Manage internal communication flow between design teams and management.
  • Maintain an updated contact database for clients, vendors, and collaborators.

5. Financial & Administrative Support

  • Track project budgets, payments, and reimbursements in coordination with Accounts.
  • Maintain petty cash and reconcile expenses weekly.
  • Assist in invoice processing, vendor payment follow-ups, and financial reporting.
  • Support Meher with personal finance tracking (subscriptions, travel reimbursements, home vendor payments).

Key Performance Indicators (KPIs)

  • Seamless management of Meher's calendar and commitments.
  • High efficiency and organization in studio operations.
  • Timely and clear communication across all stakeholders.
  • On-schedule delivery of internal and client milestones.
  • Reduced administrative and logistical load on the Creative Director.
  • Positive studio culture and team coordination.

Qualifications & Skills

  • Bachelor's degree in Business Administration, Design Management, or a related field.
  • 5–8 years of experience as an Executive Assistant, Studio Manager, or Operations Manager in a design, fashion, or creative industry.
  • Excellent communication, organization, and time management skills.
  • Strong command of written and spoken English.
  • Tech-savvy; proficient in Google Workspace, MS Office, Asana/Notion, and digital filing systems.
  • Discreet, proactive, and resourceful with exceptional attention to detail.
