Core Responsibilities:
Administrative & Office Management
Maintain and organize office files, records, documents (both physical and digital).
Handle incoming and outgoing correspondence (email, courier, phone calls).
Ensure smooth day-to-day operations of the office.
Manage inventory and procurement of office supplies and stationery.
Maintain attendance and leave records of staff and workers.
Documentation & Record Keeping
Assist in the preparation of contracts, work orders, and tender documents.
Keep track of material delivery challans, invoices, and bills.
Help maintain documentation for government clearances, registrations, and statutory filings (like GST, PF, ESIC).
Accounts & Billing Support
Coordinate with the accounts department to manage vendor bills, client invoicing, and petty cash.
Collect and organize bills for site expenses, purchases, and subcontractors.
Prepare basic reports like expense summaries, cash flow reports, etc.
Coordination & Communication
Act as a liaison between project sites and the head office.
Coordinate with vendors, suppliers, and clients for appointments and follow-ups.
Schedule meetings and assist in internal communications.
HR & Payroll Assistance
Maintain employee records and assist in hiring documentation.
Support payroll processing by collating attendance, overtime, and site reports.
Coordinate insurance and statutory benefits for employees.
Project Support
Assist project managers with data entry, report preparation, and follow-ups.
Help track progress reports, labor deployment, and site logs.
Maintain registers/logbooks for audits and inspections.
Compliance & Office Cleanliness
Ensure the office is clean, safe, and compliant with local norms.
Supervise office maintenance and basic facility management.
