Role Overview
As the Admin cum Receptionist, you will be the first point of contact for visitors and employees, ensuring smooth front desk operations. In addition to administrative tasks, you will support the HR team in operations, recruitment coordination, employee engagement, training logistics, and employer branding—with a special focus on initiatives that empower and engage female employees.
- Key ResponsibilitiesReception & Administrative SupportGreet and assist visitors and employees with professionalism and warmth.
- Manage front desk operations including call handling, mail distribution, and meeting room bookings.
- Maintain office supplies, coordinate with vendors, and support general administrative tasks.
- HR Operations SupportAssist in maintaining employee records, leave tracking, and HR documentation.
- Support onboarding and exit processes, ensuring timely communication and coordination.
- Coordinate with internal teams to ensure HR processes are followed smoothly.
- Recruitment CoordinationSchedule interviews and communicate with candidates.
- Maintain applicant databases and track recruitment status.
- Assist with posting job ads and following up with shortlisted applicants.
- Employer BrandingHelp create and post employer branding content on social media and job platforms.
- Support the planning of campaigns and events that promote Gupio as an inclusive employer.
- Maintain a welcoming and vibrant office environment that reflects company culture.
- Employee EngagementOrganize and execute office events, celebrations, and wellness activities.
- Support the HR team in gathering feedback through surveys and informal check-ins.
- Help manage internal communications to keep employees informed and engaged.
- Training Support (Special Focus on Female Employees)Coordinate logistics for internal and external training programs.
- Track participation and feedback from training sessions.
- Work with HR to support initiatives aimed at career development for female employees.
- RequirementsBachelor's degree in any discipline (HR/Administration preferred).
- 1–3 years of experience in a receptionist, admin, or HR support role.
- Excellent communication and interpersonal skills.
- Good organizational skills with attention to detail.
- Proficiency in MS Office (Word, Excel, PowerPoint) and basic HR tools.
- Friendly, proactive, and customer-service-oriented mindset.
