A Personal Assistant (PA) to the Managing Director (MD) in an insurance company provides high-level administrative, organizational, and secretarial support to ensure the MD's time is used effectively. Key responsibilities include managing the MD's calendar and travel, handling correspondence, preparing reports and presentations, and acting as a gatekeeper and liaison for internal and external stakeholders. The role requires strong communication, exceptional organizational skills, discretion, and proficiency with office software, with a focus on maintaining confidentiality and professionalism.

Key responsibilities

· Calendar and schedule management: Manage the MD's complex schedule, appointments, and meetings, including booking venues and preparing agendas.

· Communication management: Act as the primary point of contact, handling emails, phone calls, and correspondence on behalf of the MD.

· Travel coordination: Arrange all aspects of business travel, including flights, accommodation, and itineraries, and manage visas and invitation letters for overseas visitors.

· Document and report preparation: Draft correspondence, prepare reports, presentations, and other documents for internal and external use.

· Confidentiality and discretion: Handle all sensitive information with the utmost discretion and professionalism.

· Meeting support: Take minutes at meetings and ensure all necessary materials are prepared in advance.

· Technical skills: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential.

· Soft skills:

o Communication: Strong written and verbal communication skills are critical for liaising with stakeholders and drafting correspondence.

o Proactivity: The ability to anticipate needs and proactively solve problems is a significant asset.

o Discretion: A high degree of professionalism and discretion is essential for handling confidential information.

o Attention to detail: Must be meticulous in preparing documents and managing schedules.

o Multitasking: The ability to handle multiple tasks and priorities simultaneously is crucial.
