Role Objective

To handle high-value purchase orders, develop reliable vendor and supplier networks, and ensure procurement of quality materials and services at the most competitive cost, supporting business growth and profitability.

Key Responsibilities

1. Purchase Order (PO) Management

• Prepare, approve (as per authority matrix), and release high-value Purchase Orders.
• Ensure PO accuracy in terms of pricing, quantity, specifications, taxes, and delivery timelines.
• Track open POs and ensure timely delivery of materials.
• Monitor PO value vs. budget to prevent overruns and ensure cost efficiency.

2. Vendor & Supplier Development

• Identify, evaluate, and onboard new suppliers to expand the vendor base.
• Conduct market research to identify alternate suppliers and reduce dependency on single sources.
• Negotiate contracts and long-term rate agreements with suppliers for cost optimization.
• Conduct supplier audits (quality, capacity, compliance) and maintain supplier scorecards.

3. Cost Control & Negotiation

• Achieve annual cost reduction targets through price negotiation and alternate sourcing.
• Analyze price trends, raw material cost indices, and market fluctuations for better planning.
• Work with the finance team to ensure timely vendor payments as per agreed terms.

4. Inventory & Coordination

• Collaborate with production, planning, and stores to maintain optimum stock levels.
• Avoid stock outs or excess inventory by timely procurement planning.
• Coordinate with quality team to resolve material quality issues with vendors.

5. MIS & Reporting

• Maintain detailed records of PO values, vendor performance, and procurement savings.
• Generate weekly and monthly reports on procurement status, spend analysis, and supplier development.
• Present cost-benefit analysis and supplier performance reviews to management.

Key Skills & Competencies

• PO Value Management: Experience handling large purchase orders and cost control.
• Vendor Development: Ability to source, qualify, and develop new suppliers.
• Strong negotiation, communication, and analytical skills.
• Proficiency in ERP systems (SAP / Tally / Zoho / etc.).
• Good understanding of contracts, taxation, and compliance requirements.

Qualifications & Experience

• Education: B.E. / B.Tech (Mechanical / Production)
• Experience: 4–8 years in procurement, preferably in manufacturing / building materials sector.
• Proven track record of handling high-value purchases and supplier development.

Key Performance Indicators (KPIs)

• PO Value Accuracy: % adherence to approved budgets.
• Vendor Development: Number of new qualified vendors onboarded per quarter.
• Cost Savings: % cost reduction achieved against previous period.
• Supplier Performance: On-time delivery rate, quality acceptance rate, and responsiveness.
• MIS Timeliness: Accuracy and punctuality of procurement reports.
