Factory Accountant

Key Responsibilities:

1. Accounting & Documentation

  • Collect and verify delivery reports from factories and cross-check deduction reports against actual dispatches.
  • Ensure debit notes are accurately collected from factories and recorded in the system.
  • Prepare and issue credit notes in a timely manner.
  • Maintain proper records of invoices, debit/credit notes, and supporting documentation for audits.

2. Payment Management

  • Track outstanding payments and follow up with factories for timely collection.
  • Coordinate with the internal accounts team to reconcile payments and collections weekly.
  • Monitor factory ledgers, resolve discrepancies, and ensure on-time settlements.

3. Factory Coordination

  • Liaise daily with factory counterparts for delivery confirmation, contracts, deductions, and farmer payment updates.
  • Support smooth communication between operations and finance teams regarding dispatches and billing.
  • Ensure delivery-wise payment entries are correct and complete before factory closure each day.

4. Operational Support

  • Work closely with Operations Manager and ground staff to ensure:
  • Timely outward movement of goods.
  • Correct bill sharing with drivers and dispatch records.
  • Proper financial closure of each transaction cycle
  • Maintain up-to-date dashboards of dispatch vs. payment realization.

5. Compliance & Reporting

  • Assist in monthly reconciliations and MIS preparation for management review.
  • Ensure adherence to company policies and statutory norms in invoicing and collection practices.
  • Highlight deviations or irregularities promptly to management.

Key Skills & Competencies

  • Strong command over accounting fundamentals and ERP systems
  • Experience in factory or manufacturing accounting preferred.
  • Excellent communication and coordination skills able to manage multiple stakeholders (farmers, factory managers, ground staff).
  • High attention to detail, ownership mindset, and a bias for timely execution.
  • Working knowledge of GST, debit/credit note handling, and invoice reconciliation.
