Job Summary:
In this role, you will coordinate and support projects for multiple project managers that serve specific customer projects. Supporting the Project Manager in gathering task updates, resource updates and information to implement the projects. Their main duties include maintaining budgets and work schedules, organizing, and participating as needed in meetings and ensuring all deadlines for certain project tasks are met. Handling information flow from the Project Manager to the individual contributors. Project Coordinators will monitor the overall progress of the team and will update the Project Manager regularly on progress. Project Coordinators will prepare the presentation of items for the meetings and will share their meeting notes with the Project Manager. When any important decisions or action items are made during the meeting, the Project Coordinator will make sure to follow up on these with the necessary parties who are assigned these responsibilities.
Scope:
Knowledge: Learns to use professional concepts. Applies company policies and procedures to resolve routine issues.
Complexity: Works on problems of limited scope. Follows standard practices and procedures in analysing situations or data from which answers can be readily obtained. Builds stable working relationships internally.
Supervision: Normally receives detailed instructions on all work.
Job Responsibilities:
- Update the resource allocation planning hours to forecast the full project
- Supervise current projects and coordinate all team members to keep workflow on track
- Manage project-related administration and deliverables by ensuring all necessary materials are current, properly updated and stored on the client SharePoint.
- Coordinate project correspondences by preparing and reviewing project meeting minutes and emails
- Manage updating and gathering updates for DevOps items and collabs/cases for the projects.
- Manage updating, adding, and closing work for Project RAID Logs (risks, actions, issues and decisions.
- Update the Project Status Report Draft and Steering Committee Draft presentations.
- Updating and Adding resource assignments across projects
- Review Time Entry as needed and delegated
- Updates to Gantt Chart when timeline shifts for Project Manager review
- Submitting and Managing Credit/Free Work
- Demonstrate value to the customer when billing time
