Position: Executive Assistant
Department: Executive Office
Reporting To: Director (Direct Reporting)
Role Summary
The Executive Assistant will work exclusively for the Director, providing high-level administrative, coordination, and operational support. The role requires professionalism, confidentiality, and strong organizational abilities to ensure the Director's day-to-day activities run smoothly.
Key ResponsibilitiesDirect Support to the Director
- Manage the Director's calendar, appointments, meetings, and daily schedule.
- Handle all email correspondence, follow-ups, reminders, and official communication on behalf of the Director.
- Prepare documents, presentations, reports, and notes as instructed.
- Maintain strict confidentiality regarding all Director-level discussions and documents.
Coordination & Communication
- Act as the primary point of contact between the Director and internal departments.
- Coordinate meetings, prepare agendas, draft minutes, and ensure follow-up on action items.
- Liaise with clients, vendors, and external stakeholders professionally.
Operational & Administrative Support
- Organize travel bookings, itineraries, and hospitality arrangements for the Director.
- Manage filing systems, maintain records, and ensure proper documentation.
- Track expenses, handle reimbursements, and support basic MIS reporting for the Director.
- Ensure timely execution of tasks and projects assigned by the Director, with proper follow-ups.
Additional Responsibilities
- Conduct basic research, compile information, and prepare briefing notes when required.
- Assist in project coordination, reviews, and internal communication on behalf of the Director.
- Support the Director in ensuring smooth workflow and prioritizing daily activities.
Skills & Competencies
- Excellent communication skills (written & verbal).
- Strong organizational and multitasking abilities.
- High level of discretion, professionalism, and integrity.
- Proficiency in MS Office, email drafting, and documentation.
- Ability to work under pressure with responsibility and ownership.
Qualifications
- Graduate in any discipline; MBA preferred.
- 2–7 years of experience as an EA or in a senior administrative role supporting top management.
