Role Description

This is a full-time on-site role for an Administrative Coordinator, located in Bhubaneswar. The Administrative Coordinator will handle day-to-day tasks including administrative assistance, customer service, and communication with clients and team members. The role involves organizing schedules, managing documentation, providing support for financial processes, and ensuring smooth office operations.

Qualifications

  • Proficiency in MS Office and other administrative tools
  • Ability to multitask and prioritize effectively
  • Bachelor's degree in Business Administration or a related field is preferred

Key Responsibilities
1. Client Coordination

  • Act as the main communication link between clients and internal teams.
  • Schedule meetings, calls, and follow-ups with clients as per project timelines.
  • Record meeting minutes, share updates, and track action points.
  • Ensure timely responses to client emails, messages, and queries.
  • Maintain high standards of professionalism and client satisfaction.

2. Project Administration

  • Assist in preparing client documents – proposals, MoUs, reports, and presentations.
  • Support data collection, formatting, and review of project deliverables before submission.
  • Maintain and update client records, contracts, and project trackers.
  • Coordinate with design, content, and finance teams for document approvals and dispatch.
  • Track project timelines, deliverables, and submission deadlines.

3. Operational Support

  • Manage daily office coordination related to client projects.
  • Maintain logs of courier dispatches, files, and printed documents.
  • Ensure that all official documents are properly formatted and stored.
  • Assist in creating MIS reports, invoices, and summaries for management review.
  • Support travel arrangements, meeting setups, and logistics for client visits.

4. Communication & Reporting

  • Draft and send professional emails and letters on behalf of the company.
  • Maintain clear and organized records of client communication.
  • Prepare daily and weekly status reports for internal review.
  • Share timely updates with the management on client interactions and project progress.

Compensation: ₹7k (Fixed) per month + ₹5k (performance-based incentive) per month
