Role Overview
The Executive Assistant (EA) will play a critical role in supporting the MDs office managing calendar, travel, stakeholder communication (internal and external), MIS and management dashboards, event management as well as cross functional coordination for administrative, operational and strategic activities across the organization and with external stakeholders. The role requires strong organizational skills, high attention to detail, ability to effectively communicate (Oral and Written) aided by know-how of how to use communication toolkit (Microsoft Word, Excel and Power point) and the ability to manage multiple priorities in a fast- paced environment.
Key Responsibilities
Executive Assistance & Calendar Management
- Manage and prioritize the MD calendar, scheduling internal and external meetings, site visits, and daily/weekly/fortnightly/monthly team / project reviews.
- Coordinate logistics for meetings, conferences, and travel arrangements.
- Prepare meeting agendas, minutes, and ensure timely follow-ups on action items.
- Screen and prioritize emails, calls, and requests, ensuring appropriate responses or
delegation.
Stakeholder Engagement and Management MIS and Dashboard Coordination
- Anchor preparation for employee engagements for example, quarterly town-hall, leadership reviews, cross functional co-ordination sessions
- Coordinate for timely delivery of department level, project level and organization level management MIS and Dashboard at desired frequency and strive of improving its effectiveness
- Engage with all external stakeholders Strategic and financial partners, Industry bodies etc. on meetings/forums/events
- Facilitate effective communication and ensure timely resolution of queries or escalations.
Office Administration and support
- Lead and execute office wide events with internal and/or external participations
- Oversee office wide day to day administration including office level services, amenities, housekeeping, pantry, infrastructure, travel desk etc. in coordination with respective departments
- Overall hospitality in taking care of guests and visitors to the office
Qualifications & Skills
- 6-8 years of experience as an Executive Assistant, Project Coordinator, or similar role, preferably in hospitality sector working in a CXO office
- Strong organizational, multitasking, and time-management skills.
- Excellent communication (written & verbal) and interpersonal skills.
- Proficiency in MS Office Suite (Excel, PowerPoint, Outlook), AI tools like Chat GPT and project management tools.
- Ability to handle sensitive information with discretion and integrity.
- Proactive, detail-oriented, and solution-driven mindset.
