Job Role:

The Operations Executive at Hotwheels Car Rental will be responsible for ensuring smooth day-to-day operations of the transport fleet. This includes managing drivers, monitoring vehicle movement, ensuring client satisfaction, maintaining compliance, and coordinating with various departments to deliver safe, timely, and quality transportation services.

Key Responsibilities:

1. Fleet & Driver Management

  • Oversee daily vehicle deployment and scheduling according to client requirements.
  • Assign, monitor, and track drivers to ensure timely pickups and drops.
  • Maintain driver rosters, attendance, and shift schedules.
  • Conduct regular driver briefings on safety, client etiquette, and company policies.
  • Address driver-related issues promptly and professionally.

2. Client Coordination

  • Serve as the primary point of contact for client transport operations.
  • Coordinate with corporate clients to handle daily transport requirements and updates.
  • Manage escalation and ensure immediate resolution of service-related complaints.
  • Maintain high standards of customer service and client relationship management.

3. Vehicle Monitoring & Compliance

  • Monitor real-time vehicle movement using GPS/tracking systems (e.g., FleetIQ).
  • Ensure all vehicles are in good condition with valid insurance, permits, and documentation.
  • Coordinate periodic vehicle inspections, maintenance, and servicing.
  • Track fuel usage, mileage, and performance metrics for cost optimization.

4. Data & Reporting

  • Maintain records of trips, driver logs, and client billing details.
  • Prepare daily, weekly, and monthly operational reports.
  • Support the accounts team with trip data for accurate client invoicing.
  • Analyze data to identify areas for operational improvement.

5. Technology Integration

  • Use and other in-house technology to streamline operations.
  • Ensure all trip updates, route plans, and driver logs are accurately entered in the system.
  • Assist in improving digital workflows for better fleet efficiency.

6. Safety & Compliance

  • Enforce company safety standards and ensure drivers adhere to road safety rules.
  • Handle incident reports and assist in accident investigations if required.
  • Ensure compliance with RTO, labor, and transport regulations.

7. Coordination & Teamwork

  • Collaborate with HR for driver onboarding and training.
  • Coordinate with the finance team for expense approvals, vendor payments, and billing.
  • Support the management in business development initiatives when required.

Skills & Qualifications:

  • Graduate (any discipline) with 2–5 years of experience in transport/logistics operations.
  • Strong communication and coordination skills.
  • Proficiency in MS Office, Excel, and transport tracking systems.
  • Ability to multitask and handle pressure in a fast-paced environment.
  • Knowledge of fleet management, vehicle compliance, and routing is preferred.
