Job Profile: Executive Assistant

**Position Overview:**

The Executive Assistant will play a crucial role in supporting the Managing Director (MD) by efficiently managing schedules, coordinating with various stakeholders, and handling confidential information. This position requires a high level of organization, attention to detail, and the ability to manage multiple tasks simultaneously. The ideal candidate will be adept at using Google Sheets for tracking and organizing various aspects of the role, ensuring seamless operations and communication.

**Key Responsibilities:**

  1. **Schedule Management:**

  2. Efficiently manage the MD's calendar, coordinating appointments, meetings, and travel plans.

  3. Utilize Google Sheets to track and update schedules, ensuring all stakeholders are informed of changes.

  4. **Stakeholder Coordination:**

  5. Serve as a liaison between the MD and internal/external stakeholders.

  6. Maintain positive relationships with staff, clients, and suppliers to facilitate smooth communication.

  7. **Confidential Information Handling:**

  8. Handle sensitive information with discretion and confidentiality.

  9. Prepare, review, and manage reports, presentations, and documentation.

  10. **Task Management:**

  11. Organize and track tasks related to Key Result Areas (KRA), Key Performance Indicators (KPI), and Minutes of Meetings (MOM) using Google Sheets.

  12. Ensure timely follow-up on action items and deliverables.

  13. **Travel Logistics:**

  14. Organize domestic and international travel arrangements, including flights, accommodations, and itineraries.

  15. Ensure all travel plans are efficiently coordinated and communicated.

  16. **Project Assistance:**

  17. Assist with project research and data compilation as required.

  18. Provide support in preparing project documentation and reports.

  19. **Event Organization:**

  20. Plan and organize company events, ensuring all logistics are handled efficiently.

  21. Coordinate with vendors and venues to ensure successful event execution.

  22. **Communication Management:**

  23. Manage communication on behalf of the MD, including drafting emails and correspondence.

  24. Prepare meeting agendas and take minutes, ensuring all follow-up actions are tracked in Google Sheets.

  25. **Problem-Solving:**

  26. Address day-to-day challenges proactively, providing solutions and support as needed.

  27. Collaborate effectively with team members to resolve issues and improve processes.

**Qualifications:**

  • **Education:**

  • Bachelor's degree in Business Administration, Management, or a related field preferred.

  • **Experience:**

  • Proven experience as an Executive Assistant or in a similar administrative role.

  • Experience in managing schedules and coordinating with multiple stakeholders.

  • **Skills:**

  • Proficient in Google Sheets and other Google Workspace applications.

  • Excellent organizational and time-management skills.

  • Strong written and verbal communication abilities.

  • Ability to handle confidential information with integrity and discretion.

  • Strong problem-solving skills and attention to detail.

  • **Personal Attributes:**

  • High level of professionalism and interpersonal skills.

  • Ability to work independently and as part of a team.

  • Adaptable to changing priorities and able to manage multiple tasks simultaneously.

Job Type: Full-time
