We are looking for " HR Specialist, Payroll for People and Culture Function to be based in Chennai, India. This position reports to "Senior Country HR Manager, India".

In this position, you will be required to provide professional HR services related to the processing of payroll, aiming at guaranteeing the correct salary payment to employees within company parameters and according to current legislation. And this position holder is responsible for efficient, on-time and accurate salary processing, statutory compliance and taxation, payroll reporting, and employee query resolution pertains to Valmet Technologies Private Limited legal entity.

Areas of Responsibilities:

  • Process monthly payroll, ensuring accuracy in salary calculations, deductions, incentives and benefits, in accordance with company policies and processes for employees based in India locations.
  • Prepare payroll computation in accordance with attendance, leaves, and overtime records.
  • Ensure validation of payroll inputs data before sending it to 3rd party payroll service vendor for processing, as per agreed calendar due dates.
  • Ensure validation of draft paysheet from 3rd party payroll service vendor and provide sign off.
  • Ensure timely salary disbursement through company authorized banking channels in coordination with India Finance function.
  • Process full and final settlement of resigned / retired employees as per Valmet India policies and employment contract terms.
  • Executing additional assignment salary related to cross-border assignments (Short-Term and Expatriate Assignments) in coordination with Valmet Global mobility team, Valmet host country payroll team and Valmet India Finance.
  • Handle apprentice's monthly stipend process in coordination with 3rd party apprentice's service provider. A one-point contact from Valmet for all apprentices related payroll and payment processes.

Statutory Compliance & Taxation:

  • Ensure compliance and timely completion of EPF, ESI, PT, LWF, TDS and other statutory requirements.
  • Ensure correct deduction of Income Tax (TDS) as per Indian tax laws. Coordinate with 3rd party payroll service vendor and complete TDS quarterly returns – Form 24Q and completion of Form 16 as per due date.
  • Prepare and file statutory returns on time (PF, ESI, TDS, etc.).
  • Supporting / providing salary, leave information to actuary valuation (external consultant) to arrange actuary certificate under section AS15 (March), IAS 19 (December).

Employee Benefits & Deductions:

  • Manage gratuity, leave encashment, leave travel allowance, bonus payments, rewards payment, policy related benefits, reimbursements, deductions and other payroll adjustments.
  • Providing needed payroll information to Insurance service provider for yearly renewal of company group insurance policies and new policy registration.

Payroll Audits & Reporting:

  • Maintain payroll records and generate reports for internal, external and statutory audits.
  • Ensure payroll data accuracy and reconciliation with finance records.
  • Prepare MIS reports, payslips, and tax computation statements.
  • Conduct timely and accurate processing of cyclical events including month end, statutory reports and year end related activities.
  • Ensure strict confidentiality of salary data and adhere to Valmet quality standards, policies, procedures.

Employee Query Management:

  • Address payroll-related queries and educate employees on salary structure, tax deductions, and benefits.
  • Assist in payroll onboarding for new employees and explain tax-saving options.

Coordination with HR, Finance, Global Mobility and Payroll Service Vendor:

  • Work closely with HR Managers and Generalist for employee payroll data management, Annual Salary Planning Process, yearly bonus and benefits payments, salary structure revisions and policy updates.
  • Coordinate and work closely with 3rd party payroll service vendor.
  • Collaborate with Finance for payroll allocation and process, and statutory filings.
  • Collaborate with Valmet Global mobility team and Valmet host country payroll team for assignments (Short-Term and Expatriate Assignments) related compensation.

To succeed this role, you will need:

Bachelor's or Master's degree in Commerce, Human Resource or any arts degree. At least 5 years in processing payroll in an MNC or large organizations Ability to independently handle complete payroll and related processes. Strong working exposure on MS Excel and familiar with other MS Office tools – Word, PPT, MS Teams. Strong knowledge on payroll related taxation and statutory compliances. Effective written and verbal communication skills. Good hands-on knowledge in PF, ESI, PT, Gratuity, Superannuation, LWF and Tax is desired. Ability to handle shadow payroll process for cross-border assignments, added advantage. Strong mathematical ability and aptitude to learn the payroll software application. Proficiency in payroll software is added advantage. Ability to work under time constraints to ensure deadlines are met. Possess logical and analytical skills with a flair for numbers with attention to details.
