Job Description:

1. Shipping Line Coordination & Invoice Management

Request and collect invoices from shipping lines for Full Container Load (FCL) shipments.

Verify invoice details for accuracy before processing payments.

Follow up with the finance team for timely payment processing to avoid delays.

1. Payment & Security Deposit Follow-ups

Regularly follow up with shipping lines for payment confirmations.

Track security deposits and ensure timely refunds from shipping lines.

Maintain records of security deposit transactions and liaise with accounts for reconciliation.

1. Shipment Tracking & Status Updates

Monitor shipment status from departure to arrival and update stakeholders accordingly.

Track container release, customs clearance, and final delivery schedules.

Proactively address shipment delays by coordinating with shipping lines and relevant authorities.

1. Liner Office Visits & Coordination

Visit liner offices as required for urgent coordination, documentation, or issue resolution.

Develop and maintain strong relationships with shipping line representatives.

Ensure all necessary documents are submitted and collected on time.

1. Transportation & Field Visits (Bike Mandatory)

Travel to shipping line offices, ports, and other locations as required.

Ensure all visits are planned efficiently to optimize time and resources.

Maintain proper documentation of all visits and follow-up actions.

1. Reporting & Documentation

Maintain updated records of shipments, invoices, payments, and deposits.

Generate periodic reports on shipment status, payment follow-ups, and pending security deposits.

Ensure compliance with company policies and standard operating procedures.

Requirements:

Knowledge of freight forwarding, shipping line processes, and logistics operations.

Proficiency in MS Excel, Tally, SAP, or any logistics management software.

Familiarity with customs clearance and documentation procedures is a must.

Strong communication and negotiation skills for dealing with shipping lines and transport partners.

Problem-solving abilities to handle shipment delays or payment discrepancies.

Time management and multitasking to manage multiple shipments and payment follow-ups efficiently.

Attention to detail for verifying invoices, payments, and documentation.

Physical & Mobility Requirements:

Ability to travel extensively using a bike for office visits and port-related tasks.

Readiness to work in a fast-paced environment with dynamic shipping schedules.
