Job Summary:
The
Sales Coordinator
at Prismbiz plays a pivotal role in supporting the Sales team by ensuring streamlined processes, fast response times, and accurate documentation throughout the sales cycle. This role is central to enhancing customer satisfaction, maintaining quotation accuracy, and ensuring timely engagement with incoming client inquiries—including those received through customer portals.
Key Responsibilities:1.
Sales Support & Coordination
- Act as a primary support resource to the Sales team, ensuring fast, accurate, and efficient response to customer inquiries.
- Collaborate closely with Sales personnel to ensure minimal follow-ups are needed during the enquiry and quotation process.
- Maintain a structured approach to handling sales documentation and records.

Quotation Management & Governance
- Ensure no duplicate quotations are sent to the same customer by acting as a control gatekeeper.
- Support the standardization and streamlining of the quotation process to enhance speed and accuracy.
- Maintain an internal quotation log and tracking system for transparency and consistency.
3.
Operational Efficiency & Response Velocity
- Champion a high-velocity, customer-centric work environment by emphasizing quick turnaround times for enquiries and quote submissions.
- Prioritize operational basics—accuracy, timeliness, and process adherence—in daily tasks.
- Coordinate cross-functionally to remove bottlenecks and enhance overall sales operations flow.

Client Customer Satisfaction Survey (CSS) Support
- Contribute directly to improved Client CSS scores through timely, professional engagement with customer requests.
- Ensure every quote and response reflects Prismbiz's commitment to quality and customer focus.
- Identify feedback trends and work with internal teams to implement improvements.
5.
Customer Portal & RFQ Management
- Monitor customer procurement portals for new Requests for Quotation (RFQs).
- Ensure all relevant RFQs are promptly shared with the respective Sales team members.
- Maintain a record of positively engaged RFQs and track outcomes for reporting and follow-up.
Requirements:Qualifications:
- Bachelor's degree in Business Administration, Sales, Marketing, or a related field.
- 2–4 years of experience in a Sales Coordination, Customer Support, or Operations role preferred.
Skills & Competencies:
- Strong coordination and organizational skills with a keen eye for detail.
- Excellent verbal and written communication abilities.
- Proficient in MS Office tools, especially MS Excel and PowerPoint.
- Familiarity with CRM and customer portal systems is a plus.
- Proactive, fast-paced, and customer-oriented mindset.
