Roles & Responsibilities:

  1. Decor Coordination

  2. Collaborate with design teams or decorators to conceptualize the wedding theme.

  3. Approve layouts, color palettes, floral arrangements, and lighting design.

  4. Ensure timely setup and teardown of décor at all venues.

  5. RSVP Management

  6. Create and manage guest lists.

  7. Send out invitations (physical or digital).
  8. Track guest confirmations and special requests (e.g., dietary restrictions, travel needs).

  9. Coordinate with the hospitality team for guest seating and accommodations.

  10. Logistics Management

  11. Plan and execute logistical requirements including venue setup, transportation, and accommodation.

  12. Create event timelines and contingency plans.
  13. Coordinate arrival/departure schedules for guests and vendors.

  14. Ensure all equipment, materials, and staff are in place at the right time.

  15. Entertainment Coordination

  16. Scout and book entertainment such as DJs, live bands, dance troupes, emcees, etc.

  17. Schedule performances and integrate them into the event flow.

  18. Handle technical requirements for sound, lighting, and stage setup.

  19. Vendor Management

  20. Source and negotiate with vendors for catering, décor, sound & light, photographers, etc.

  21. Prepare contracts and ensure deliverables are met.

  22. Manage vendor payments and resolve issues on-site.

  23. Hospitality & Guest Experience

  24. Coordinate welcome kits, room drops, and special gestures for guests.

  25. Set up hospitality desks at hotels and venues.
  26. Handle VIP guest management, concierge services, and emergency support.
  27. Ensure seamless guest movement and comfort throughout the event.
