The Receptionist in the university administrative office serves as the first point of contact for students, staff, and visitors. This role involves managing inquiries, supporting administrative functions, and ensuring smooth front-desk operations.
Key Responsibilities:
Front Desk Management- Greet and assist students, faculty, and visitors in a courteous manner. Direct individuals to appropriate departments or personnel.
Communication Handling- Answer phone calls and respond to emails professionally. Take messages or forward inquiries to the relevant departments.
Administrative Support- Maintain appointment schedules for office staff. Assist with data entry, filing, and maintaining student records. Help prepare and distribute documents, notices, or circulars.
Records and Documentation- Maintain logs of visitors and daily activities. Help manage forms( admissions, transcript requests, fee receipts, etc)
Office Coordination- Coordinate meeting room bookings. Support administrative staff with events, exams, or registration- related activities.
