Position Summary
The Facility Manager is responsible for ensuring smooth, safe, and efficient day-to-day operations of the organizations physical facilities. This role oversees building maintenance, vendor coordination, security, housekeeping, utilities, and workplace services while ensuring compliance with safety standards and creating a productive work environment for employees.
Key Responsibilities
1. Facility Operations & Maintenance
- Manage upkeep, repair, and preventive maintenance of office infrastructure, electrical systems, HVAC, plumbing, generators, and other building assets.
- Monitor daily facility operations to ensure uninterrupted services.
- Plan and implement preventive maintenance schedules.
2. Vendor & Contractor Management
- Oversee vendors for housekeeping, security, maintenance, pest control, cafeteria, transport, etc.
- Evaluate vendor performance, ensure SLA compliance, and negotiate contracts.
- Coordinate with landlords, building management, and external agencies.
3. Health, Safety & Compliance
- Ensure compliance with statutory and safety regulations (fire safety, building codes, EHS standards).
- Conduct regular safety audits, fire drills, and risk assessments.
- Maintain documentation, licenses, and facility-related compliance records.
4. Space & Asset Management
- Manage seating allocations, space planning, workplace layout, and office moves.
- Track and maintain facility assets, inventory, and AMC records.
- Optimize space utilization and workplace efficiency.
5. Security & Housekeeping Oversight
- Supervise security personnel, access control systems, CCTV operations, and visitor management.
- Ensure high housekeeping standards across all office areas.
- Monitor cleanliness, hygiene, and waste management processes.
6. Budgeting & Cost Control
- Prepare and manage the facility budget, including maintenance costs, utilities, and vendor expenses.
- Identify cost-saving opportunities while maintaining service quality.
- Track expenses, review invoices, and ensure financial compliance.
7. Employee Support & Office Services
- Manage front desk, courier services, pantry, meeting rooms, and other workplace services.
- Handle employee facility requests and ensure timely resolution.
- Support events, meetings, and emergency response activities.
Key Skills & Competencies
- Strong knowledge of facility operations, building systems, and vendor management
- Excellent communication, negotiation, and stakeholder management skills
- Proactive, organized, and able to handle multiple tasks
- Ability to lead support staff and manage crises effectively
- Knowledge of safety, statutory compliance, and facility audits
Qualifications & Experience
- Bachelors degree in Facilities Management, Operations, Engineering, or related field
- 510 years of experience in facility management or administration
- Experience managing large office environments preferred
- Certifications in facility management/EHS (optional but preferred)
