Front Office Executive and Administration Assistant

Role & responsibilities
1. Reception & Patient Management
- Greet patients and visitors with warmth and professionalism.
- Handle patient registration and maintain accurate records.
- Manage patient flow to ensure minimal waiting time and a smooth experience.
2. Appointments & Scheduling
- Manage appointment bookings via phone, email, and walk-ins.
- Maintain and update the daily appointment calendar.
- Coordinate with dentists and specialists to avoid scheduling conflicts.
3. Billing & Payments
- Generate invoices, process payments, and maintain cash/credit records.
- Explain billing details and procedures to patients.
- Coordinate with insurance providers, if applicable.
4. Customer Service & Experience
- Respond promptly to patient inquiries and complaints.
- Provide information about treatments, offers, and follow-up care.
- Ensure the reception area is clean, organized, and welcoming at all times.
5. Administrative Support
- Handle incoming and outgoing calls, emails, and correspondence.
- Maintain inventory of front-office supplies.
- Assist with marketing activities such as appointment reminders and patient feedback collection.
Preferred candidate profile
- Diploma in Hospitality/Front Office/Healthcare preferred.
- Excellent communication skills in English and Hindi language.
- Proficient in using computer & Excel.
- Pleasant personality, grooming, and etiquette suited for a premium clinic environment.
- Ability to multitask and work under pressure while maintaining a calm demeanor.
