Job Title: Executive Assistant

Reports to: [CEO]

Location: Mumbai

Job Summary:

We are seeking a highly organized and proactive Executive Assistant to support our [CEO]. The ideal candidate will be experienced in handling a wide range of executive support tasks, able to work independently with little supervision, and comfortable managing a diverse set of responsibilities in a fast-paced environment.

Key Responsibilities:

  • Manage and maintain the executives calendar, including scheduling meetings, appointments, and travel arrangements.
  • Screen and direct phone calls, emails, and other correspondence.
  • Prepare internal and external communications, reports, presentations, and other documents as needed.
  • Coordinate executive communications, including taking calls, responding to emails, and interfacing with clients.
  • Organize and maintain files and records, both electronic and physical.
  • Plan, coordinate, and ensure the executive's schedule is followed and respected.
  • Manage and track expense reports and reimbursements.
  • Handle confidential information with discretion.
  • Assist with special projects and events as needed.
  • Liaise with senior management, clients, and stakeholders on behalf of the executive.

Qualifications:

  • Proven experience as an executive assistant or in a similar administrative role.
  • Excellent organizational and time management skills.
  • High level of discretion and professionalism.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other office productivity tools.
  • Ability to multitask and prioritize tasks effectively.
  • Bachelor's degree preferred, but not required.
