Job Title: Clinic Coordinator – IVF Centre

Location: PRAVI Global IVF, Lajpatnagar New Delhi.

Reports To: Medical Director / IVF Consultant

SALARY NEGOTIABLE ( Depending of experience and proficiency)

Job Summary:

The Clinic Coordinator is responsible for ensuring smooth day-to-day functioning of the IVF centre by coordinating patient flow, managing appointments, assisting with patient counselling, maintaining communication between patients and clinical teams, and ensuring an excellent patient experience from consultation to treatment completion.

Key Responsibilities:

  1. Patient Coordination & Communication

  2. Act as the first point of contact for IVF patients and their families.

  3. Schedule consultations, investigations, and treatment procedures.
  4. Guide patients through the entire IVF process — from registration, diagnostic tests, and treatment planning to follow-ups.
  5. Provide emotional support and ensure patients are well-informed at every stage.

  6. Maintain confidentiality and a compassionate attitude toward patients.

  7. Administrative Support

  8. Manage patient records, consent forms, and treatment documentation.

  9. Coordinate with doctors, embryologists, nurses, and finance teams for seamless workflow.
  10. Maintain daily appointment lists and ensure smooth clinic operations.

  11. Handle calls, emails, and messages related to patient queries and appointments.

  12. Operational & Coordination Tasks

  13. Liaise with the lab, OT, pharmacy, and billing departments to ensure proper patient flow.

  14. Follow up with patients for reports, medication adherence, and scheduled visits.
  15. Maintain data for IVF cycles, patient outcomes, and satisfaction feedback.

  16. Assist in maintaining compliance with PCPNDT and ART Act documentation.

  17. Financial & Billing Assistance

  18. Coordinate with the billing department for treatment estimates and payment schedules.

  19. Ensure that patients are informed of package details, inclusions, and financial policies.

  20. Marketing & Patient Engagement

  21. Assist in patient education programs, awareness camps, and digital communication.

  22. Support social media or CRM follow-ups for patient retention.

6.Human Resource Management

  • Maintain staff attendance, leave records, and duty rosters.
  • Assist in onboarding and training new staff members.
  • Coordinate staff schedules to ensure adequate coverage in all departments.
  • Support management in performance evaluations and team meetings.
  • Promote teamwork, professionalism, and positive communication within the Clinic .

Qualifications & Skills Required:

  • Graduate or Postgraduate in Healthcare Management / Nursing / Life Sciences / Administration.
  • Prior experience in IVF, fertility, or healthcare coordination preferred (1–3 years minimum).
  • Excellent communication, empathy, and organizational skills.
  • Proficiency in MS Office, Google Sheets, or clinic management software.
  • Fluency in English and Hindi (additional languages are an advantage).

Work Schedule:

  • 6 days a week
  • Flexible hours during procedures or emergencies

Job Type: Full-time

Pay: From ₹40,000.00 per month
