Role & responsibilities
Administrative Support
- Manage and maintain the Director's calendar, including scheduling meetings, appointments, and travel.
- Screen and prioritize emails, phone calls, and other communication/s.
- Prepare agendas, presentations, reports, and minutes of meeting as required.
- Coordinate logistics for internal and external meetings, events, and speaking engagements.
Communication & Correspondence
- Draft, edit, and proof read official correspondence, e-mails reports, and documents.
- Act as the primary point of contact between the Director and internal/external stakeholders.
- Maintain confidentiality and handle sensitive information with discretion.
Coordination
- Assist with the planning and execution of Tasks or initiatives led by the Director.
- Monitor and Follow ups with HOD's for pending issues.
Operational Support
- Maintain effective filing systems (digital and physical) for easy document retrieval.
- Process expenses, invoices, and reimbursements in a timely manner.
- Liaise with internal departments to support operational efficiency.
- Excellent English verbal and written communication abilities.
Preferred candidate profile
- Exceptional organizational and time management skills.
- Excellent English verbal and written communication abilities.
- High level of professionalism and discretion.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with tools like Zoom is a plus.
- Ability to manage multiple priorities and adapt quickly to changing demands.
