Job Summary:

We are looking for a detail-oriented and proactive Tender Executive & Back Office Coordinator with 2-3 years of experience in the HVAC, Firefighting, Basement Ventilation, and MGPS sectors. The ideal candidate will handle the end-to-end tender process for MEP-related projects, manage back-office operations, and ensure accurate technical and commercial documentation.

Key Responsibilities:

Identify and track relevant tenders in HVAC, Firefighting, Basement Ventilation, and MGPS through online portals, newspapers, and industry sources.

Prepare, compile, and submit tender documents, including technical and commercial proposals, within deadlines.

Review tender specifications and ensure alignment with company offerings in MEP systems.

Maintain detailed records of tenders submitted, won, and lost for future reference.

Coordinate with sales, design, and project teams for gathering technical data, drawings, and approvals.

Handle back-office administrative work such as documentation, data entry, and generating periodic reports.

Maintain vendor registrations and update company profiles on tender portals (GeM, e-procurement, etc.).

Ensure all submissions comply with tender requirements, technical standards, and company policies.

Support additional operational and administrative functions as required.

Requirements:

Graduate in any discipline.

2-3 years of experience in tender management and/or back-office operations.

Strong knowledge of online tender portals (e.g., GeM, e-procurement sites).

Proficiency in MS Office (Word, Excel, PowerPoint).

Good communication skills (written & verbal).

Attention to detail and ability to work under tight deadlines.
