Job Purpose:
Onsitego is looking for self-driven administration expert to manage daily office administrative tasks & operations effectively.
Responsibilities
Vendor Management
- Conduct vendor audits, invite quotations as per requirement of the job.
- Ensure the job is completed as per time, completing entire vendor cycle (from quotations, PO/ Work order work completion to final billing).
- Ensure that third party vendors for (Security, equipment, house-keeping, Air conditioning, pest control/RO and others) provide services as per agreement/AMCs.
- Monthly attendance and salary computations of the team.
Facility Management
- Ensure facility team, maintenance team resolves the maintenance issues on daily basis, monitoring electrical consumption of all locations on daily basis, ensure that equipment is serviced regularly on maintenance day and as and when the issues arise.
- Manage Facilities with planning of day to day maintenance activities and utilizing the resources for the appropriate result.
- Track and Monitor Hygiene Standards across all the locations.
- Manage upkeep of DG Set, Firefighting system, LT panels etc.
Budget & MIS
- Ensure that expenditure is done as per the budget allotted & tracking MIS in every month for the same.
- Maintain all electricity data (budgeted vs actual) and create reports.
- Focus on cost cutting of all maintenance activities.
Planning and Execution of Services
- Plan for services of Air conditioning, water supply (mineral water supply), pest control, Stationary
- Track electricity consumptions (Taking appropriate call for the minimizing of Bills.)
- Track and monitor stock and consumption across facilities
Legal/Regulatory Compliance
- Liaise with all statutory and government bodies, ensuring compliance with all statutory, corporate and regulatory guidelines.
Cafeteria
Management
- Manage daily operations of the office cafeteria in line with company guidelines to ensure compliance with all health, safety and hygiene regulations.
Safety Management
- Ensure security of employees, company assets and premises; by effectively keeping a tab on security measures and visitor management.
Travel Management & Guest House Management
- Manage relationships with travel agencies and vendors, negotiate contracts or rates with travel service providers.
- Develop strategic policies and programs for corporate travel.
Property Management
- Search for leased office premises to set up new office, oversee repair and maintenance of office, improvement of building system.
