Position Overview
The Assistant Manager / Deputy Manager / Manager – Human Resources will be responsible for managing statutory compliances, labour law liaisoning, payroll administration, audits, general HR operations, and employee engagement activities. This role requires extensive knowledge of labour legislation, factory compliance, license renewals, contractor statutory compliance, payroll systems like Saral / PeopleStrong, and experience in labour department audits including SMETA and other social or legal audits.
Key Responsibilities:
1. Statutory Compliance & Liaisoning
- Liaison with Labour Department, Department of Factories & Boilers, PF, ESI, PT, Shops & Establishments, and other government bodies.
- Manage registration, renewal, amendment, and compliance of Factory License, CLRA License, Trade License, and other statutory approvals.
- Handle contractor statutory compliance: Registration, license renewals, agreement execution, wage compliance, statutory registers, and returns.
- Ensure timely filing of PF, ESI, PT, Leave Payment, Bonus, Gratuity, and annual/half-yearly statutory returns.
- Coordinate and represent the organization during inspections by Labour Inspectors, PF, ESI, Factory Inspectors and Pollution Control Board.
2. Payroll & HR Operations
- Manage end-to-end payroll processing (Salaried) through software like Saral Paypack / PeopleStrong / SAP / Saviour.
- Ensure accurate computation of wages, overtime, deductions (PF, ESI, PT, TDS), final settlements, bonus, gratuity, leave encashment.
- Manage attendance & leave through biometric / and manual entry.
- Generate monthly MIS: Headcount, Salary, Attrition, Overtime, Absenteeism.
3. Labour Law Audit & Compliance
- Handle social and compliance audits such as SMETA, OHSAS and customer audits.
- Prepare documentation, statutory registers, factory records, and CAP (Corrective Action Plans) post audits.
- Coordinate with external auditors and ensure zero non-compliance status.
4. Legal & Industrial Relations
- Manage labour disputes, court cases, notices, conciliation meetings and represent the company at Labour Office/Industrial Tribunal.
- Draft and issue charge sheets, warning letters, suspension letters and assist in domestic enquiry proceedings.
- Maintain harmonious industrial relations and grievance handling for workers and staff.
5. General Administration & Employee Engagement
- Oversee canteen, security, housekeeping, medical & statutory welfare facilities.
- Organize festivals, annual day, sports events, welfare activities, motivational programs and employee engagement activities.
- Co-ordinate for statutory committee meetings: POSH, Works Committee, Safety Committee, Grievance Committee.
6. Audits, Documentation & Reporting
- Maintain statutory registers and HR documentation.
- Prepare monthly HR MIS, statutory compliance reports, vendor compliance tracker, license expiry tracker.
- Coordinate for internal/external audits & ensure adherence to required standards.
Required Qualifications & Experience
- Education:
MBA/MSW in HR / IR / Labour Law or equivalent. - Experience:
7–8 years of experience in HR & Statutory Compliance within a Manufacturing / Factory setup. - Mandatory Skills:
- Liaisoning with Factory, Labour Department, PF, ESI, PT Offices
- Contractor Compliance Management
- Payroll Processing (Saral, PeopleStrong, SAP, etc.)
- Experience in SMETA / Social / Factory Audits.
- Knowledge of Factories Act, CLRA, ID Act, PF Act, ESI Act, Bonus & Gratuity Act.
- Exposure to legal cases, labour court, investigations & disciplinary procedures
