We are seeking an energetic and proactive Society Manager to oversee daily operations, with a key focus on hiring, managing, and supervising staff to ensure smooth society management.

Job Overview:

The Society Manager will be responsible for the overall administration of the housing society, with a primary focus on recruiting, training, and managing staff (housekeeping, security, maintenance, etc.) to ensure efficient operations. The role involves coordination with the Managing Committee, residents, and vendors, ensuring compliance with society bylaws and fostering a harmonious community environment.

Key Responsibilities:

  1. Staff Recruitment and Management:

  2. Identify staffing needs for housekeeping, security, maintenance, and other support roles.

  3. Develop job descriptions, source candidates, conduct interviews, and hire qualified staff for all areas of society work.
  4. Oversee onboarding, training, and induction of new staff to ensure smooth integration into society operations.
  5. Manage staff schedules, attendance, performance evaluations, and ensure discipline and compliance with society policies.
  6. Address staff-related grievances and ensure a positive work environment.

  7. Society Operations and Administration:

  8. Act as the primary point of contact for residents, addressing queries and resolving complaints related to facilities, security, and staff performance.

  9. Assist the Managing Committee in day-to-day operations, including preparing notices, agendas, and minutes for meetings (AGM/EGM).
  10. Maintain and update society records, including member lists, maintenance dues, and statutory registers as per the Maharashtra Cooperative Societies Act, 1960.
  11. Prepare and manage the society budget, ensuring cost-effective operations.

  12. Vendor and Facility Management:

  13. Coordinate with vendors and contractors for maintenance, repairs, and services (e.g., lifts, CCTV, fire safety systems).

  14. Ensure timely servicing of society-owned equipment and maintain an asset register.
  15. Monitor vendor performance and negotiate contracts to ensure quality and cost-efficiency.

  16. Compliance and Documentation:

  17. Ensure compliance with municipal regulations, housing society bylaws, and statutory requirements.

  18. Draft NOCs, circulars, and notices as per legal frameworks.
  19. Support audits, manage licenses, and maintain accurate financial records using ERP systems or accounting software.

  20. Community Engagement:

  21. Prepare an event calendar for festivals, ESG, and CSR activities to enhance resident engagement.

  22. Handle resident complaints promptly and ensure resolution within the legal framework.

Qualifications and Skills:

  • Education: Graduate in any discipline; certification in society/housing management is a plus.
  • Experience: 12 to 20 years of experience in society management, facility management, or staff supervision, preferably in a residential society with 200+ flats.
  • Skills:

  • Strong leadership and team management skills to supervise staff effectively.

  • Proficiency in MS Office (Excel, Word, PowerPoint) and accounting software (e.g., Tally).
