Role Objective:

To ensure smooth, timely, and accurate dispatch of finished goods by managing invoicing, documentation, and SAP entries in alignment with company and statutory requirements. The role requires close coordination with production, sales, warehouse, and transport teams to ensure efficient dispatch operations for the Arvind Advance Material Limited,Sports Division at Chhatral.

Key Responsibilities:

Dispatch & Invoicing Operations

  • Prepare and process tax invoices, delivery challans, packing lists, and e-way bills through SAP.
  • Ensure invoice accuracy in terms of material codes, quantity, pricing, and GST applicability.
  • Plan dispatches as per sales and production priorities to meet customer delivery timelines.
  • Coordinate with transporters for vehicle arrangement, tracking, and dispatch confirmation.
  • Maintain daily dispatch reports and ensure all documents accompany the goods.

SAP & Documentation Management

  • Perform all relevant SAP SD transactions including sales order processing, delivery creation, goods issue, and invoicing.
  • Update dispatch status and stock movement records in SAP.
  • Maintain organized filing (physical and digital) of invoices, LR copies, and related dispatch documents.
  • Support in monthly dispatch reconciliations and audit data preparation.

Compliance & Coordination

  • Ensure adherence to GST, e-way bill, and other statutory norms for dispatch documentation.
  • Coordinate with sales and finance teams for invoice posting, credit note adjustments, and related matters.
  • Liaise with QA and production for material clearance before dispatch.
  • Support internal and external audits with accurate and timely data.

Reporting & Process Improvement

  • Track and share daily and monthly dispatch MIS with key stakeholders.
  • Identify and suggest process improvements to enhance dispatch efficiency and documentation accuracy.
  • Contribute to reducing order-to-dispatch cycle time.

Key Skills & Competencies:

  • Working knowledge of SAP (SD Module) for invoicing and dispatch.
  • Understanding of logistics operations, GST compliance, and e-way bill process.
  • Strong coordination and communication skills.
  • Accuracy and attention to detail in documentation and system entries.
  • Proficiency in MS Excel and report preparation.
