Overview
The Front Desk Executive serves as the welcoming face of the organization handling visitor interactions, managing inquiries, coordinating administrative support, and ensuring the smooth operation of the reception area. This role is instrumental in crafting a positive first impression and supporting internal efficiency.
Role & responsibilities
- Greet and welcome visitors with professionalism and warmth.
- Answer, screen, and forward incoming phone calls; manage basic inquiries.
- Maintain a clean, tidy, and presentable reception area.
- Schedule appointments, manage meeting rooms or calendars, and assist with bookings.
- Receive, sort, and distribute incoming mail, packages, and deliveries.
- Assist in office security by issuing visitor badges, logging arrivals, and following access protocols.
- Provide general administrative support: data entry, filing, photocopying, and handling correspondence.
- Manage inventory of front office supplies and place replenishment orders as needed.
- Extract reporting or documentation as required (depending on organization).
Qualifications
- Gradution or Diploma in related field.
- Prior experience in front desk operations, reception, or administrative roles preferred.
- Proficient with Microsoft Office Suite (Word, Excel, Outlook) and comfortable with office equipment (printers, fax machines, etc.).
- Clear and polished verbal and written communication skills.
- Strong organizational skills and ability to multitask effectively.
- Discreet, detail-oriented, and capable of maintaining confidentiality.
