  • Student / Client Profiling
  • Assess student or applicant academic background, test scores (IELTS, TOEFL etc.), work experience.
  • Understand the student's/immigrant's goals (course, country, budget, duration).

  • Suggest suitable courses, universities, visa options, immigration routes.

  • Application Management

  • Guide through application forms or immigration / visa application documents (ensure completeness & correctness).
  • Collect required documents: academic certificates, transcripts, financial proofs, identity documents.

  • Prepare Statements of Purpose (SOP) or essays when needed.

  • Liaison

  • Communicate with foreign universities / institutions for Offer Letters, deadline follow-ups, fee receipts, refunds etc.

  • Coordinate internally (with counselors, agents, branches) to ensure smooth case processing

  • Prepare visa documentation & ensure compliance with immigration regulations.

  • Mock interview preparation for visa interviews.

  • Keep updated on visa regulations for different countries.

  • Record-Keeping / Admin / CRM

  • Maintain records of every client/student profile, application status etc. in internal software or CRM system.

  • Entry of data: applications received, follow-ups, documents submitted, deadlines, fees paid

  • Follow-Ups & Client Communication

  • Follow up with students or agents about missing documents, deadlines, payment of fees, acceptance of offers.

  • Communicate offer letters, university/university responses, visa status updates to clients.

  • Quality Assurance & Compliance

  • Ensure all admissions / visa processing complies with both internal company policies and external regulations (immigration laws, educational institution requirements).

  • Check that documents are authentic and meet requirements (translation, notarization, etc.).

  • Reporting

  • Generating reports: number of applications, conversion rates (lead → admission), offer letters vs accepted offers, deadlines missed etc.
  • Reporting to management about issues or delays in any part of process.
