Position: Admin – Documentation & Project Coordination

Location: Thirumudivakkam, Chennai

Department: Administration / Projects

Reporting To: Project Manager / Management

Role Overview

We are looking for a proactive and detail-oriented Admin (Lady) to manage project documentation, assist in project coordination, and handle day-to-day office administration. The ideal candidate should have excellent organizational skills, good communication abilities, and the capability to support project teams in achieving deadlines and efficiency.

Key Responsibilities

Documentation & Records Management

  • Prepare, maintain, and organize project-related documents, reports, and correspondence.
  • Maintain filing systems (both digital and physical) for contracts, invoices, and project records.
  • Ensure timely submission of project documentation to clients and internal departments.
  • Draft letters, official emails, and other communication material.

Project Coordination

  • Assist project managers in planning, scheduling, and monitoring project activities.
  • Follow up with vendors, clients, and internal teams for project updates.
  • Track project deadlines and support in preparing progress reports.
  • Coordinate meetings, prepare minutes of meetings (MoM), and circulate action points.

Office Administration

  • Handle routine office administration, including correspondence, visitor management, and basic HR support.
  • Maintain inventory of office supplies and ensure smooth day-to-day operations.
  • Support management with travel arrangements, appointments, and calendar coordination.
  • Assist in preparing presentations, proposals, and reports as required.

Qualifications & Skills

  • Bachelor's degree (preferred in Administration, Commerce, or related field).
  • 2–5 years of experience in administration, documentation, or project coordination.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and basic documentation software.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Ability to work independently with minimal supervision.
  • Professional, positive, and team-oriented attitude.
