Position Overview
The Administrative Coordinator is responsible for handling core administrative duties while closely coordinating with the Admissions Department and other management departments to ensure smooth and efficient school operations. This role plays a key part in supporting daily school activities, maintaining accurate records, and enabling effective communication across departments.
The ideal candidate will be organized, proactive, and tech-savvy, with strong multitasking abilities and proficiency in Google Workspace. The role requires regular interaction with admissions, academic, operations, and management teams in a dynamic school environment.
Key Responsibilities
Administrative Support and Record Management
- Maintain accurate school records, databases, schedules, and documentation.
- Assist in digitizing and organizing administrative records to improve workflow efficiency.
- Manage inventory of school supplies, equipment, and learning materials.
- Ensure timely filing of documents and adherence to school policies and procedures.
Admissions and Interdepartmental Coordination
- Work closely with the Admissions Department to support student inquiries, application processing, documentation, and enrollment workflows.
- Coordinate with academic, operations, admissions, and management departments to ensure seamless administrative processes.
- Facilitate communication, follow-ups, and documentation between departments.
- Support management with coordination and reporting as required.
Google Workspace and Technology Support
- Use Google Docs, Sheets, Forms, Drive, Calendar, Meet, and Slides for administrative functions.
- Support admissions and administrative teams with data entry, spreadsheet management, and digital forms.
- Assist in implementing digital tools to streamline admissions and administrative workflows.
- Handle basic troubleshooting related to administrative software and tools.
Communication and Correspondence
- Manage official emails and correspondence with parents, prospective parents, staff, vendors, and external stakeholders.
- Assist in drafting notices, circulars, reports, and newsletters.
- Act as a point of contact for general administrative and admissions-related inquiries.
- Ensure timely, professional, and courteous communication at all times.
Event, Meeting and Operations Support
- Assist in organizing school events, admissions-related interactions, meetings, parent-teacher conferences, and training sessions.
- Prepare meeting schedules, agendas, and minutes.
- Support student registration, admissions documentation, and onboarding processes.
- Maintain confidentiality of student, parent, and staff records.
- Take on additional responsibilities as required to support overall school operations.
