Role Overview
We are seeking a dynamic and motivated Team Lead – PhD Admissions to manage a team of Admission Counsellors handling PhD student enrollments. The ideal candidate will not only guide prospective students through the admissions process but also monitor team performance, analyze conversion data, and prepare weekly, monthly, and quarterly performance reports.
This role demands leadership, accountability, and a deep understanding of the PhD admissions lifecycle.
Key ResponsibilitiesCounselling & Conversion
- Handle inbound and outbound student inquiries for PhD admissions.
- Counsel students about university options, eligibility, and program details.
- Guide students through the complete admission process from enquiry to enrollment.
- Achieve individual and team-based enrollment targets.
Team Leadership & Monitoring
- Lead a team of Admission Counsellors, ensuring consistent performance and goal achievement.
- Conduct daily team huddles and review meetings to track leads, follow-ups, and conversions.
- Motivate, mentor, and train team members to enhance counselling skills and process knowledge.
- Ensure adherence to communication standards and Inspire's service protocols.
Performance Reporting
- Maintain and monitor lead management data through CRM or Excel tracking systems.
- Prepare weekly, monthly, and quarterly reports on:
- Team performance metrics (leads handled, conversion ratios, closures, etc.)
- Individual counsellor performance and targets.
- Own performance report aligned with company KPIs.
- Analyze trends and provide actionable insights to management for improving conversion efficiency.
Operational Excellence
- Coordinate with marketing and academic teams to optimize the lead flow and admission funnel.
- Handle escalated student queries professionally.
- Participate in review meetings and contribute to strategy discussions on admissions and process improvements.
Requirements
- Bachelor's or Master's degree (Education, Management, or related field preferred).
- Minimum 3+ years of experience in counselling, admissions, or sales; 1+ year in a leadership or team-handling role preferred.
- Strong communication, mentoring, and reporting skills.
- Proficiency in MS Excel / Google Sheets and CRM tools.
- Ability to work in a performance-driven environment with clear monthly targets.
