Job Title: Event Production ManagerDepartment: Production & Operations

Reporting To: Director / Production Head

Location: On-Site & Godown Based (with frequent travel to event venues)

Role Overview:

The Event Production Manager is responsible for translating event concepts and client-approved designs into on-ground reality. This role involves managing all technical, logistical, and manpower aspects of event production — ensuring timely setup, flawless execution, and smooth coordination between creative, client servicing, and ground teams.

Key Responsibilities1. Planning & Coordination

  • Interpret final PPTs and production layouts received from the Client Servicing (CS) team.
  • Plan the execution process — divide work among departments (fabrication, lighting, floral, printing, etc.).
  • Coordinate with vendors for flex printing, fabrication, CNC work, props, and rentals.
  • Prepare and share event-wise production schedules, loading lists, and setup timelines.

2. Material & Manpower Management

  • Check stock availability with the godown in-charge before initiating new production.
  • Raise requirements for new materials or vendor work (printing, painting, etc.).
  • Allocate manpower for setup and supervise helpers, carpenters, electricians, and florists.
  • Ensure all production material is packed, labeled, and dispatched safely to the venue.

3. On-Site Execution

  • Oversee complete on-site setup from start to finish — including structure placement, lighting, and décor finishing.
  • Coordinate closely with client and CS team during setup to accommodate last-minute changes.
  • Ensure all décor elements (flexes, arches, pillars, backdrops, console tables, etc.) are correctly installed as per design reference.
  • Maintain discipline, safety, and time efficiency among team members.

4. Vendor & Logistics Coordination

  • Handle coordination with vendors for tempo loading/unloading, transport timing, and return schedules.
  • Monitor on-ground vendor work (printing, sound, light, or fabrication).
  • Cross-check deliveries, ensure timely arrival of all components to avoid delays.

5. Quality Control & Finishing

  • Inspect all materials before dispatch — ensure color, polish, and finish match approved samples.
  • Maintain high standards of aesthetics, alignment, and cleanliness at setup.
  • Share setup progress photos and videos with management in real-time.

6. Post-Event Responsibilities

  • Coordinate event wrap-up and ensure all items are dismantled safely.
  • Cross-check inventory before loading back to godown.
  • Submit event completion report with feedback on team performance, damages, and improvements.

Skills & Requirements

  • Strong leadership and team management skills.
  • Knowledge of event décor materials (wood, flex, acrylic, metal, floral, etc.).
  • Excellent coordination, communication, and problem-solving ability.
  • Familiarity with design layouts, fabrication processes, and vendor management.
  • Ability to work under pressure and tight deadlines.
  • Minimum 3–5 years of experience in event production or fabrication management.
  • Proficiency in Excel, WhatsApp coordination, and visual reference understanding.

  • Zero damage or missing material reports.
