Receptionist / Front Office Executive

The Receptionist serves as the first point of contact for clients, visitors, and callers. This role requires a , professional, and efficient individual who ensures smooth day-to-day front office operations while maintaining excellent customer service.
- Key ResponsibilitiesFront Desk Management:
- Greet and welcome clients, visitors, and patients warmly.
- Maintain a clean, organized, and professional reception area.
- Communication Handling:
- Answer incoming calls, emails, and messages promptly and professionally.
- Direct calls and inquiries to the appropriate departments or staff members.
- Provide accurate information about services, appointments, and facilities.
- Appointment Scheduling:
- Manage appointment bookings and maintain the calendar.
- Confirm, reschedule, or cancel appointments as required.
- Coordinate with doctors, therapists, or consultants to avoid overlaps.
- Administrative Support:
- Maintain and update client records and databases.
- Handle billing support, receipts, and payment tracking (if required).
- Assist with filing, data entry, and office correspondence.
- Client Service:
- Ensure a pleasant client experience from entry to exit.
- Address basic queries and escalate specific concerns to the appropriate staff.
- Collect feedback and communicate it to management for service improvement.
- Operational Support:
- Assist in managing inventory of office supplies and clinic essentials.
- Support event coordination, promotional activities, and internal meetings.
- Ensure compliance with organizational policies and confidentiality standards.
