The Document Controller Liaisoning Department is responsible for managing, organizing, and maintaining all documentation related to real estate project approvals, statutory compliances, and correspondence with government authorities. The role ensures that all recordsapplications, NOCs, approvals, drawings, legal documents, and communicationare systematically controlled, updated, and easily retrievable for audit or regulatory purposes.
Key Responsibilities
1. Documentation & Record Management
- Maintain and update all liaison-related documentation, including applications, approvals, NOCs, licenses, and correspondence with government bodies.
- Ensure all documents are correctly numbered, version-controlled, and stored in both physical and digital formats.
- Create and maintain a comprehensive filing system (hard copy & soft copy) for each project.
- Track document submissions and approvals from various departments such as Town Planning, Environment, Fire, Airport Authority, RERA, etc.
2. Coordination & Liaison Support
- Coordinate with internal departments (Legal, Design, Project, Finance) to collect and submit required documents for statutory approvals.
- Assist liaison officers in document preparation and follow-up with government offices.
- Maintain a tracker for all ongoing and completed applications and approvals.
3. Compliance & Audit Support
- Ensure all documents comply with company standards and statutory requirements.
- Support internal and external audits by providing accurate and up-to-date records.
- Monitor validity of approvals/NOCs and alert the team before expiry for timely renewal.
4. Digital Documentation & MIS Reporting
- Manage electronic document management systems (EDMS) for version control and access authorization.
- Prepare weekly/monthly MIS reports showing the status of documentation, approvals, and pending applications.
- Assist in data entry and maintenance of project compliance databases.
Required Skills & Competencies
- Excellent organizational and documentation skills.
- Strong attention to detail and accuracy.
- Knowledge of real estate approval processes (Development Plan, Building Plan, Environment, Fire, RERA, etc.).
- Proficiency in MS Office (Excel, Word, PowerPoint) and document management software.
- Effective communication and coordination abilities.
- Ability to handle confidential information responsibly.
