About The Role

As a fast-growing studio, we're looking for a dynamic Project Management Executive to join our creative team. This is an exciting opportunity for someone who thrives in a fast-paced environment, enjoys bringing diverse teams together, and loves to manage and deliver high-quality projects across multiple platforms.

Key Responsibilities

Being a central point of contact for both clients and internal teams, you will be responsible for overseeing the execution of creative projects from initiation through to successful delivery. You'll collaborate with a talented group of designers, photographers, videographers, developers, strategists, and account managers to ensure that every project is completed on time, within scope, and to the highest quality standards.

Project Planning and Execution

Develop detailed project plans, timelines, and deliverables for creative and marketing initiatives. Ensure all stakeholders are aligned on objectives, responsibilities, and deadlines.

Workflow and Task Management

Use project management tools like Asana, Trello, or Jira to regularly track, update, and manage work progress. Ensure tasks are assigned appropriately and deadlines are met while keeping teams informed about project status.

Cross-Team Coordination

Act as the bridge between creative, marketing, product, and operations teams. Facilitate communication and ensure all departments are aligned on project goals, priorities, and execution timelines.

Client and Key Stakeholder Management

Manage relationships with clients and key stakeholders, providing regular updates, gathering feedback, and ensuring alignment between project expectations and deliverables. Serve as the primary point of contact for project-related inquiries.

Resource Allocation and Scheduling

Work closely with the creative studio to allocate resources effectively, ensuring optimal use of designers, videographers, editors, and other team members for each project.

Stakeholder Communication

Regularly update key stakeholders on project progress, potential risks, and required adjustments. Ensure transparency and clarity in all communications.

Process Optimization

Identify opportunities to streamline workflows and improve efficiency. Implement best practices and standard operating procedures (SOPs) to enhance project execution.

Budget and Timeline Management

Monitor project budgets and timelines to ensure adherence to scope and resources. Anticipate potential roadblocks and proactively mitigate risks.

Quality Control

Ensure all project deliverables meet the brand's quality standards and align with Barsys' creative vision. Conduct final reviews before projects go live.

Problem-Solving and Risk Management

Anticipate potential issues, proactively address challenges, and provide solutions to keep projects on schedule and within scope.

Requirements

We are looking for a proactive, detail-oriented individual with the ability to manage multiple projects simultaneously, while balancing client expectations and internal deadlines. You should be a strong communicator and have a passion for both creative and project management.

Experience:

2 - 3 years in project management, preferably in a creative agency or in-house creative/marketing team.

Project Management Tools:

Proficiency in Asana, Trello, Jira, or similar workflow management tools for tracking and managing tasks.

Organizational Skills:

Strong ability to manage multiple projects, prioritize tasks, and ensure smooth execution.

Client and Stakeholder Management:

Experience in handling clients and internal stakeholders, ensuring alignment on expectations and deliverables.

Cross-Functional Collaboration:

Experience working with creative, marketing, and operations teams to drive project success.

Problem-Solving:

A proactive mindset to anticipate and resolve issues before they impact project timelines.

Communication:

Excellent verbal and written communication skills to facilitate collaboration and stakeholder management.

Adaptability:

Ability to thrive in a dynamic, fast-paced environment and adjust to shifting priorities.
