About The Role

As a fast-growing design and communications studio, we're looking for a dynamic, detail-oriented and brand-focused
Project Management Executive for Arbot Studio
to be the bridge between our creative teams and our clients. In this role, you will ensure smooth communication, manage client expectations, understand their business goals, and translate them into actionable briefs for all Design, UI/UX, and Photography teams. You will play a critical part in building long-term client relationships, ensuring timely delivery of high-quality creative solutions, and contributing to the growth of both the client's brand and our studio.

Key Responsibilities

Being a central point of contact for both clients and internal teams, you will be responsible for overseeing the execution of creative projects from initiation through to successful delivery. You'll collaborate with a talented group of designers, photographers, videographers, developers, strategists, and account managers to ensure that every project is completed on time, within scope, and to the highest quality standards.

Client Relationship Management

• Act as the primary point of contact for assigned clients.
• Build and nurture strong, trust-based relationships with clients.
• Understand client needs, objectives, and brand guidelines to ensure the design and communications solutions align with expectations.
• Manage day-to-day communication, keeping clients informed on project progress and timelines.

Project Planning and Coordination

• Collaborate with internal design and project management teams to translate client briefs into actionable tasks.
• Ensure briefs are clear, comprehensive, and aligned with client expectations.
• Coordinate across departments (designers, copywriters, strategists, production) to ensure timely delivery.
• Monitor project timelines, deliverables, and budgets, ensuring projects run smoothly.

Workflow & Task Management

Use project management tools like Asana, Trello, or Jira to regularly track, update, and manage work progress. Ensure tasks are assigned appropriately and deadlines are met while keeping teams informed about project status.

Strategic Inputs & Value Addition

• Proactively suggest creative ideas, campaigns, or design approaches that can add value to the client's brand.
• Stay updated on industry trends, competitor activities, and client's market to provide meaningful insights.
• Identify opportunities for up-selling and cross-selling design services.

Account Administration

• Prepare proposals, quotations, timelines, and reports for clients.
• Maintain accurate documentation of all client communications, revisions, and approvals.
• Track billing, payments, and ensure proper closure of projects.

Qualifications & Experience

We are looking for a proactive, detail-oriented individual with the ability to manage multiple projects simultaneously, while balancing client expectations and internal deadlines. You should be a strong communicator and have a passion for both creative and project management.

Experience:

• Bachelor's degree in Marketing, Communication, Design Management, or related field.
• 2 - 3 years in client servicing / account management, project coordination preferably in a design studio, creative agency or in-house creative/marketing team.
• Familiarity with design software (Adobe Creative Suite) is an added advantage.
• Experience in handling multiple accounts simultaneously.

Project Management Tools:
Proficiency in Asana, Trello, Jira, or similar workflow management tools for tracking and managing tasks.

Organizational Skills:
Strong ability to manage multiple projects, prioritize tasks, and ensure smooth execution.

Client and Stakeholder Management:
Experience in handling clients and internal stakeholders, ensuring alignment on expectations and deliverables.

Cross-Functional Collaboration:
Experience working with creative, marketing, and operations teams to drive project success.

Problem-Solving:
A proactive mindset to anticipate and resolve issues before they impact project timelines.
