The Personal Assistant (PA) to the Director will provide high-level administrative, secretarial, and operational support to ensure the Director's office functions efficiently. This role requires excellent organizational, communication, and time-management skills with the ability to handle sensitive and confidential information professionally.
Key Responsibilities
- Administrative Support
- Manage Director's calendar, schedule appointments, and coordinate meetings.
- Prepare, draft, and review correspondence, presentations, and reports.
- Maintain filing systems (digital and physical) for quick retrieval.
- Handle email and phone communications on behalf of the Director.
- Operational Support
- Coordinate travel arrangements, itineraries, and logistics.
- Organize board meetings, management reviews, and follow up on action items.
- Liaise with internal teams, clients, vendors, and external stakeholders as required.
- Ensure smooth day-to-day functioning of the Director's office.
- Confidential & Strategic Support
- Handle confidential documents and information with discretion.
- Assist in project coordination, tracking deadlines, and preparing progress updates.
- Conduct basic research, data collection, and analysis for decision-making.
