Virtual Executive Assistant to Director – Real Estate Firm (London, UK)

Location: Remote (Work from Home)

Time Zone: British Time Zone (12PM – 10 PM IST)

Job Type: Full-Time | Regular / Permanent

About the Role:

We are seeking a highly organized, proactive, and detail-oriented Virtual Executive Assistant to support the Director of a Real Estate firm based in London, UK. The ideal candidate will serve as a trusted right hand to the Director, managing day-to-day administrative operations, handling communications, and ensuring seamless coordination across clients, vendors, and internal teams.

Key Responsibilities:

  • Manage the Director's daily calendar, schedule meetings, and organize appointments.
  • Handle and screen phone calls, emails, and messages on behalf of the Director.
  • Draft, proofread, and send professional emails, reports, and documents.
  • Coordinate with clients, agents, solicitors, vendors, and service providers to facilitate smooth business operations.
  • Maintain and update records, invoices, receipts, and payment schedules.
  • Monitor pending payments, follow up on overdue invoices, and assist with basic financial tracking.
  • Prepare meeting agendas, minutes, and summary reports.
  • Assist with the management of the landlord's rental portfolio, including organizing tenancy agreements, coordinating property listings, arranging viewings, and maintaining accurate tenant records. Oversee holiday let operations by managing check-ins and check-outs, coordinating with cleaning and maintenance teams, ensuring smooth guest experiences, and addressing any issues promptly. Support with rental payments, deposits, and compliance documentation to ensure all properties are efficiently managed and legally compliant.
  • Handle confidential information with discretion and professionalism.
  • Provide general administrative and operational support as needed.

Required Skills and Qualifications:

  • Excellent verbal and written communication skills in English (essential).
  • Strong organizational and time management abilities is critical for performance of this job together with attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace.
  • Experience with project management tools (e.g., Trello, Asana, Notion) is an advantage.
  • Familiarity with CRM systems and basic bookkeeping tools (e.g., QuickBooks, Xero) is a plus.
  • Ability to multitask and manage multiple priorities in a fast-paced environment.
  • Strong interpersonal and problem-solving skills.
  • High level of professionalism, reliability, and confidentiality.

Work Schedule:

  • Shift: 1 PM to 10 PM IST
  • Days Off: TBC

Education & Experience:

  • Bachelor's degree (Preferred).
  • Minimum 1 year of experience as a Virtual Assistant, Executive Assistant, or Administrative Assistant (Preferred).
  • Experience in real estate, property management, or related fields will be an added advantage.
