Consultant - Proposal Support

WSP is seeking a dynamic Proposal Coordinator to support the growth of our Canadian business. Reporting to a Regional Proposal Director, the Proposal Coordinator will work closely with the Earth & Environment (E&E) Strategic Pursuits and Proposals Team and other colleagues / internal clients to develop and deliver a strategic approach to winning business. 

As a member of the E&E Strategic Pursuits and Proposals Team, the Proposal Coordinator will directly contribute to proposal pursuits, requests for information (RFI), presentations, and other client-centric responses. This role also includes win-strategy planning, capture planning, and post-submission efforts for service or industry-based bids in response to local, regional, national, or global requests, as needed. In this role, the Proposal Coordinator will also be a gatekeeper of online proposal content and an advocate for promoting the proposal team's best practices, tools, and policies. This may include being the main contributor to location-specific content.

The Proposal Coordinator will be client-focused, have strong relationship building skills, a strong work ethic with a positive attitude as well as project management and communication capabilities for an internal and external client base. This person will also be effective and motivated, working remotely as part of the larger proposal team, or individually, as required.

•    RFX Analysis: Review/analyze in-bound proposal requests (such as RFP, RFQ, EOI, SOA, etc.) to develop a clear understanding of mandatory and point-rated criteria, as well as information required to inform Go/No Go conversations.

•    Proposal Development: Lead the end-to-end proposal development process from kick-off to post submission closeout. This will include being responsible for knowing where to find boilerplate, creating new content, and graphic design to produce high-quality, persuasive, and visually compelling proposals. 

•    Graphic Design Expertise: Create visually engaging graphics, illustrations, infographics, and layouts to enhance the visual appeal and clarity of proposals, presentations, and other marketing materials.

•    Content Creation: Tailor proposals and graphics to address the unique needs and preferences of each client, while staying on-brand, and conveying win themes and selling points. This will include finding and tailoring existing content, adapting existing resumes, project descriptions and boilerplate information.

•    Formatting and Proofreading: Maintain a keen eye for detail by meticulously proofreading and formatting documents, ensuring they are error-free and consistent with the company's corporate messaging and branding guidelines, as well as being fully compliant with client requirements.

•    Project Management: Manage proposal schedules, milestones, and deadlines, coordinating with cross-functional teams, tracking progress, and ensuring timely submissions.

•    Proposal Closeout: Assist with internal and external proposal debriefs and other proposal close-out activities, report on proposal metrics as required.

•    Collaborative Teamwork: Collaborate closely with Canadian colleagues and internal clients, subject matter experts, and other stakeholders to gather information, insights, and feedback for proposal content and graphics.

•    Continuous Improvement: Stay updated on industry best practices, proposal trends, and emerging design techniques to enhance the quality and effectiveness of proposals and marketing materials.
 

• A bachelor's degree in a relevant field (e.g. Marketing, Communications, Business) is preferred. Relevant certifications in proposal management, graphic design, or project management are a plus.
• A minimum of 3 years of relevant experience.
• Strong verbal and written communication skills in English are a must.
• Demonstrated experience in managing and coordinating the end-to-end proposal development process, including proposal assessment, planning, content gathering, scheduling, and editing, to meet strict deadlines.
• Experience working on North American Proposals with AEC industry preferred. Experience in the professional services consulting industry (engineering and sciences is an asset), with an emphasis on proposal management and/or writing.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
• Experience with Customer Relationship Management tools (ORACLE) is an assest.
• Graphic Design skills and experience with Adobe Creative Suite (Illustrator, InDesign, Photoshop, Acrobat) is an asset.
• Experience working with both internal and external client groups, and distributed (virtual) proposal teams.
• Attention to detail and proofreading/grammar skills.
• Excellent interpersonal skills.
• Superb team player able to excel in a multi-task, deadline-driven environment
• Ability to work overtime and under pressure to meet deadlines.
