NextNation is seeking a detail-oriented and experienced
Visa Process Associate
to join our dynamic team. This role is central to the smooth and accurate processing of various visa categories, including Permanent Residency (PR), Work Permits, Study, Visitor, and other temporary or permanent visas for countries such as
Canada, Australia, the UK, the USA, Germany, and New Zealand
.

As a Visa Process Associate, you will be responsible for managing the
end-to-end visa lifecycle
— from client onboarding and document verification to submission and post-submission updates. You will act as a
subject matter expert
, collaborating closely with clients, embassies, and internal teams to ensure
accuracy, compliance, and client satisfaction
. The ideal candidate is someone who has a deep understanding of global immigration processes, is proactive in handling complex or escalated cases, and is passionate about delivering high-quality service in a fast-paced environment.

Key Responsibilities

  • Manage end-to-end processing of visa applications across multiple countries (Canada, Australia, UK, New Zealand, USA, Germany, etc.), including PR, work permits, study visas, visitor visas, and dependent categories.
  • Perform detailed reviews of client documentation to ensure completeness, accuracy, and compliance with embassy and immigration authority requirements.
  • Maintain up-to-date knowledge of evolving immigration laws, embassy guidelines, and visa category-specific documentation changes.
  • Coordinate with clients to collect required documents, translations, affidavits, notarizations, and declarations in a timely manner.
  • Liaise with external stakeholders such as embassies, VFS centers, medical centers, PCC authorities, credential evaluation agencies (e.g., WES, ECA), and skill assessment bodies (e.g., ANZSCO).
  • Track visa application status and maintain constant communication with clients through regular updates and progress reports.
  • Support and mentor junior visa executives, ensuring they adhere to standard operating procedures (SOPs) and documentation protocols.
  • Create and maintain detailed case files in CRM, ensuring audit-readiness and compliance documentation for every application.
  • Handle escalated, delayed, or complex visa cases, including documentation issues, additional requirements, and re-submissions.
  • Assist in preparing documentation for appeals, reconsiderations, or administrative reviews if required.
  • Participate in orientation or consultation calls with clients to explain visa requirements, timelines, and next steps.
  • Collaborate with internal teams, especially sales and counselling, to assess client eligibility and readiness before submission.

Key Skills And Competencies

  • Strong knowledge of international immigration systems, visa types, and embassy-specific documentation practices.
  • Exceptional attention to detail with a focus on document accuracy and compliance.
  • Excellent verbal and written communication skills with the ability to explain complex processes clearly.
  • Ability to manage multiple applications simultaneously, prioritize tasks, and meet strict deadlines.
  • Familiarity with visa filing systems and portals such as IRCC (Canada), DHA (Australia), and VFS Global.
  • Strong interpersonal and team collaboration skills, with leadership potential.
  • Problem-solving mindset, particularly in handling document discrepancies, rejections, or client concerns.
  • Proficiency in CRM tools and Microsoft Office Suite.

Preferred Qualifications

  • Bachelor's Degree in any discipline (Law, Humanities, Business, or Management preferred).
  • Certification in immigration consulting or global mobility (preferred but not mandatory).
  • Prior experience (2–4 years) in a visa processing or immigration consulting role is highly desirable.
  • Exposure to high-volume visa processing environments or global mobility services is a plus.
