
Front Office Executive

Front Office & EPABX Management:
- Handle all incoming calls through the EPABX system, ensuring calls are answered within two rings and routed appropriately.
- Address caller inquiries and escalate complaints to relevant departments as needed.
- Issue outgoing numbers strictly on employee request.
- Visitor & Guest Management:
- Welcome visitors and ensure they receive immediate attention.
- Guide visitors to appropriate departments or personnel.
- Manage issuance of gate passes and coordinate with departments during vendor events.
- Reception Area Management:
- Maintain cleanliness and order in the reception area and meeting rooms throughout the day.
- Coordinate with housekeeping and admin teams to ensure hygiene and upkeep.
Meeting Room & Mail Coordination:
- Manage meeting room bookings upon employee request.
- Check and respond to emails daily; escalate relevant information to stakeholders.
Courier and Dispatch Management:
- Supervise daily courier operations and track inward/outward dispatches in an Excel log.
- Ensure timely delivery and dispatch of mail, including to internal locations
- Maintain service quality with courier vendors.
Skills & Competencies:
- Excellent verbal and written communication skills
- Strong organizational and coordination abilities
- Basic knowledge of MS Office (Excel, Outlook)
- Courteous, proactive, and professional approach
- Ability to multitask and work under pressure
- Familiarity with office equipment and EPABX system
