We are seeking a Project Coordinator – Construction Management to support our Development and Asset Management teams in managing the administrative, contractual, and operational aspects of construction and tenant improvement projects. The ideal candidate will be highly organized, detail-oriented, and capable of handling multiple priorities in a fast-paced, project-driven environment.
Position Overview
The
Project Coordinator
will play a pivotal role in supporting the planning, coordination, and execution of real estate development and construction management projects. This role focuses on maintaining accurate project documentation, monitoring budgets, and ensuring compliance across all project phases.
The candidate will collaborate closely with internal teams, external consultants, contractors, and vendors to streamline communication, track deliverables, and support successful project outcomes.
Key Responsibilities
Project Administration & Coordination:
- Draft, process, and track project contracts, change orders, and related documentation.
- Coordinate vendor and consultant activities to ensure timelines and compliance requirements are met.
- Maintain and organize project documentation, ensuring version control and accessibility across platforms.
- Support project closeout processes, including documentation, reporting, and stakeholder handovers.
Project Management Support
- Maintain project schedules, trackers, and reports to monitor milestones, deliverables, and key activities.
- Prepare meeting agendas, record minutes, and track action items to ensure accountability and progress.
- Assist in the preparation of status reports, presentations, and internal updates for project leadership.
- Identify potential process bottlenecks and proactively assist in workflow optimization.
Financial & Budgetary Assistance
- Support project budgeting and forecasting by maintaining expenditure records and reconciliations.
- Track and verify invoices and payment requests to ensure accuracy and alignment with project budgets.
- Assist with periodic reviews, reporting, and audit documentation for internal and external stakeholders.
Qualifications & Skills
- Bachelor's degree in Construction Management, Business Administration, Real Estate, or a related discipline (preferred).
- 5+ years of experience in project coordination or administration within construction, real estate development, or property management.
- Proficiency in Microsoft Excel with strong data management, reporting, and analytical skills.
- Familiarity with project management tools and real estate systems (good to have).
- Strong organizational and communication skills, with the ability to manage multiple priorities and deadlines.
- Understanding of construction processes, contract workflows, and project documentation standards.
