Job Title: Freight Documentation & Operations Coordinator/ Manager (Air & Ocean Freight)

Position Type: Full-time, Wednesday to Sunday (Monday and Tuesday Off)

Job Description:

We are looking for a meticulous and organized Freight Documentation & Operations

Coordinator specializing in Air (A/F) and Ocean freight. This individual will be responsible for

managing all documentation processes and coordinating end-to-end operations to ensure

smooth cargo uplift, connection, and delivery. The ideal candidate will be proactive,

detail-oriented, and skilled in coordinating with multiple stakeholders to manage the flow of

goods efficiently.

Key Responsibilities:

Documentation Management:

Prepare, review, and manage all documentation required for air and ocean freight

shipments, ensuring accuracy and compliance with regulatory requirements.

Handle the preparation of bills of lading, packing lists, invoices, and other required

documents.

Maintain up-to-date records of all shipping documents, ensuring they are

accessible for auditing and reporting purposes.

Operational Coordination:

Oversee the end-to-end operations of air and ocean freight, including cargo uplift,

connections, transshipments, and final delivery.

Coordinate closely with airlines, shipping lines, freight forwarders, and customs

brokers to ensure timely cargo movement.

Track cargo schedules and proactively address any delays or disruptions in

transit, keeping all stakeholders informed.

Communication & Collaboration:

Serve as the main point of contact for internal and external parties regarding

shipment status and documentation.

Collaborate with warehouse teams, carriers, and port/airport authorities to ensure

compliance with load requirements and timely cargo release.

Regulatory Compliance:

Ensure all shipments meet regulatory standards for international shipping,

including customs requirements and any country-specific restrictions.

Stay updated on changes in import/export regulations, and implement required

adjustments to documentation and processes.

Issue Resolution:

Proactively identify and address any documentation discrepancies or operational

issues that may impact the smooth movement of cargo.

Work collaboratively to resolve issues with carriers, customs, or other

stakeholders to avoid delays.

Requirements:

Experience: Minimum 2-3 years in freight operations and documentation management,

specifically in air and ocean freight.

Knowledge: Strong understanding of import/export documentation, cargo uplift

processes, and international shipping regulations.

Skills:

Exceptional organizational skills and attention to detail.

Proficiency in shipment tracking tools and documentation software.

Effective communication and interpersonal skills for coordination with multiple

stakeholders.

Availability: Willingness to work a Wednesday to Sunday schedule (Monday and

Tuesday off).

Problem-Solving: Ability to manage tight deadlines, multi-task, and resolve issues

effectively under pressure.

Preferred Qualifications:

Experience in a logistics or freight forwarding environment.

Familiarity with digital freight management tools (e.g., Cargowise, CargoX).

Knowledge of customs clearance processes for international shipments.
