1. Tender Management & Bidding
- Identify relevant government and institutional tenders from portals like GeM, CPPP, state tender sites (e.g., TGMSIDC, HLL, Eprocure, etc.).
- Analyze tender documents, eligibility criteria, and commercial requirements.
- Prepare and compile all technical and financial bid documents in coordination with internal departments (Regulatory, QA, Accounts, Production, etc.).
- Ensure timely submission of bids (both online and offline).
- Track bid status, attend pre-bid meetings, respond to clarifications, and follow up on results.
2. Dealer & Distributor Support
- Coordinate with authorized dealers for joint tender participation.
- Prepare authorization letters, product catalogues, and supporting documents.
- Guide dealers on online tender submission processes, document compliance, and pricing structures.
- Maintain a database of active and potential dealers participating in tenders across India.
3. Documentation & Compliance
- Maintain up-to-date records of licenses, registrations (ISO, CDSCO, CE, GMP, PAN, GST, etc.).
- Regularly update product technical data sheets, price lists, and product certifications.
- Ensure all tender documents are compliant with government norms and company standards.
4. Coordination & Communication
- Liaise with QA, Accounts, and Dispatch departments for document preparation and material dispatch post-tender award.
- Communicate with clients and procurement officials for updates, clarifications, or technical requirements.
- Coordinate with management for approval of rates, special terms, or discounts.
5. Visit & Deal Closure
- Occasionally visit hospitals, government offices, or procurement agencies for tender-related discussions, document submission, or to finalize deals.
- Represent the company professionally during meetings and presentations.
6. Reporting & Analysis
- Maintain a tracker of all tenders—applied, pending, won, and lost—with reasons for outcomes.
- Prepare periodic tender performance reports for management review.
- Analyze competitor pricing and tender trends to improve future participation strategies.
Required Qualifications & Skills
- Graduate in Science, Commerce, or Pharmacy (preferred: B.Sc / B.Pharm / BBA / MBA).
- 1–3 years of experience in government tender handling, preferably in the medical/surgical or pharma field.
- Strong knowledge of online tender platforms (GeM, Eprocure, CPPP, etc.).
- Excellent documentation, communication, and computer skills (Word, Excel, PDF management).
- Ability to coordinate with multiple departments and meet strict submission deadlines.
- Willingness to travel occasionally for institutional visits or tender follow-ups.
