The IT Purchase Coordinator is responsible for managing the procurement of IT equipment, software, and services. This role involves evaluating vendors, negotiating contracts, ensuring timely delivery, and maintaining compliance with organizational policies and budget constraints. The IT Purchase Coordinator plays a key role in supporting the organization's technological needs by ensuring high-quality, cost-effective purchasing.

  • Procurement and Vendor Management
  • Identify IT hardware, software, and service requirements in collaboration with the IT department.
  • Source and evaluate vendors to ensure the best quality and pricing.
  • Negotiate contracts, pricing, and payment terms with suppliers.
  • Establish and maintain strong relationships with vendors and service providers.
  • Purchase Process Management
  • Prepare purchase orders, track deliveries, and ensure proper documentation.
  • Verify invoices and ensure timely payments to vendors.
  • Monitor purchase requisitions and ensure compliance with procurement policies.
  • Resolve issues related to delays, defective items, or incorrect deliveries.
  • Budget and Cost Management
  • Assist in preparing and managing the IT procurement budget.
  • Conduct cost analyses to identify savings opportunities.
  • Monitor expenses to ensure alignment with the allocated budget.
  • Compliance and Recordkeeping
  • Ensure compliance with organizational procurement policies and legal regulations.
  • Maintain accurate records of purchases, contracts, and communications with vendors.
  • Conduct audits to ensure adherence to policies and identify process improvements.
  • Collaboration and Support
  • Work closely with IT teams to identify technology needs and specifications.
  • Support end-users in resolving procurement-related queries or issues.
  • Provide recommendations for streamlining the IT procurement process.
  • Market Research
  • Stay updated on the latest IT products, trends, and market conditions.
  • Recommend innovative technologies or solutions that can benefit the organization.

Qualifications and Skills

Education:

  • Bachelor's degree in Information Technology, Business Administration, Procurement, or a related field.

Experience:

  • Minimum 2-3 years of experience in IT procurement or a related role.

Technical Skills:

  • Knowledge of IT hardware, software, and service procurement.
  • Proficiency in procurement software and enterprise resource planning (ERP) tools.
  • Strong understanding of contract negotiation and vendor management.

Soft Skills:
