Job Overview:
VES Technosoft is seeking a Junior Front Desk Receptionist for a full-time, internship position at our Jaipur office. The ideal candidate will serve as the first point of contact for our clients and visitors, demonstrating exceptional customer service and communication skills. As a key player in our team, you will handle various administrative tasks requiring strong organizational abilities.
Qualifications and Skills:
- Customer service expertise is essential to communicate effectively and maintain positive interactions with clients and visitors (Mandatory skill).
- Proficiency in phone system operation is crucial for handling calls efficiently and ensuring accurate message delivery (Mandatory skill).
- Experience with appointment scheduling software is required to manage bookings and calendars effectively (Mandatory skill).
- Competency in Microsoft Office Suite for creating and managing documents and spreadsheets.
- Data entry skills are necessary for recording and updating client and visitor information with precision.
- Familiarity with filing and document management practices to ensure organized and accessible records.
- Proficiency with a multi-line telephone system for handling multiple calls simultaneously.
- Excellent organizational skills to manage various tasks and prioritize activities effectively.
Roles and Responsibilities:
- Greet visitors and clients warmly, directing them to appropriate contacts or services.
- Operate telephone switchboard, manage incoming calls, and ensure accurate message taking and delivery.
- Schedule and coordinate appointments using scheduling software, ensuring efficient time management.
- Maintain the reception area in a tidy and welcoming state for visitors.
- Handle incoming and outgoing mail, including distribution to relevant departments.
- Manage data entry tasks, updating information systems accurately and swiftly.
- Provide administrative support to other departments as needed for special projects or tasks.
- Assist with document preparation and follow filing procedures to ensure documents are organized and easily retrievable.
